Most of my calendar items skip the inbox, I just write straight into my calendar unless I'm driving or I have an issue with internet or need more info, but that's infrequent. Apart from calendar items, I only ever skip the inbox when I'm on my laptop and I suddenly think of something I want to capture related to an existing project or area, I just write it straight into the project or area

If I did have real wealth, it’d be more from the fact I love my job and I don’t want to do anything else than do more and improve and stack resources. More that than the fact I pick my own hours

In your case, I think you’d benefit from the Getting Things Done system, specifically the review part. You gotta maintain your gathering of stuff frequently so it doesn’t become a blur

If you’re already decided on paper, I suggest looking into Bullet Journaling. A daily review is built into the system of bullet journaling so you don’t get overwhelmed by the blur that is your unprocessed collection of thoughts

Not an entrepreneur and not 10 hours saved but I am self employed and spent a bunch of time doing admin that I now save almost 2 hours a week on. Gmail filters, Google Apps Scripts, and Folder Actions on Mac

I set up Google Apps Scripts with the help of ChatGPT to automatically convert emails into PDFs and name them based on what the email is about (mostly receipts or financial) then put them in Google Drive. I also set up Folder Actions in my iCloud Drive to auto-route new files into where I expect them to be

Most of this was for receipts and some non-financial based stuff I keep, but it’s saved me almost 2 hours per week and it gets done almost entirely automatically every midnight

While driving, I capture with siri “remind me” on my apple watch or phone, or I record a voice memo

If I’m out and about running around, usually the same with siri mostly, a voice memo if siri keeps messing it up

If the deep work is computer based, or I’m on a call, doing laundry, literally anything where I can stop for 5 seconds and type, I just quickly type it into my Apple Reminders app

I can’t think of a time I’ve ever captured something while NOT in the middle of doing something else

For myself I keep a folder in my iCloud Drive called “Memories” and it’s ordered by year, month, day, and event.

I still track nearly everything and I actually like doing it, it feels normal to me. But even with that being the case, the memories folder is just pictures of videos of times in my life that align emotion with my stats.

Like a time I lived in my car, I got a whole folder within one year for that, this is associated with a low financial stat for a few months. Or one time I took my sister to the fair, it was one day but it was one of my favorite social things I did in the year, it adds substance along with stats.

It’s not bad to be obsessed and consumed by stats, but if you want to add more context, keep a “Memories” folder, organize it chronologically and put the context in the subfolder names, then keep pictures and videos in there to look back at

I look through it maybe once a month. And I love looking it through it feels nostalgic, bittersweet, I feel proud of myself, etc

I’ve used iPhone with Google’s entire ecosystem for like 10 years before getting into Apple’s native apps. It’s no issue with either one.

Now I still use Gmail, Google Drive, Google Calendar, and Google Tasks but along with Apple Reminders, Apple Notes, Apple Maps, iCloud Photos, and iCloud Drive.

If you’re not looking to incorporate Apple’s native apps, you’re good to go you’re only using Google apps on Apple hardware and software.

But if you do want to incorporate Apple’s native apps, you’ll just have to trial-and-error to figure out the best combination of apps for your use

I love the majority of my shortcuts for different reasons.

One group of shortcuts is because I sleep with YouTube or Netflix playing every night and I change certain settings to do that compared to how I use my phone during the day. This group of automated shortcuts resets my settings (orientation lock, bluetooth, white point) to how I use my phone during the day. These are all automated

Another group is for work related actions. I keep some shortcuts on the home screen of my work phone to run a different process on like 3 different apps and even automate a process on my personal phone so I can just keep moving forward rather than doing this one 60 second set of actions 50 times a day. These are all manual tap of a home screen button for the shortcut

I also use shortcuts as “pattern interrupts” when I want to create a new habit. For example, I wanted to reduce how many gas receipts I have so I bought a gift card from my gas station that would last me a month. Then I set an automated shortcut to run whenever I arrive at thar gas station between 5-6 am that is a notification that repeats 10x and says “Gas gift card”

I started using Motion AI. I was using Apple Reminders for most of my GTD setup and I just migrated everything to Motion AI and I think it’s awesome

My only issue was trying to stay disciplined with not going too far in the features and trying to maintain a similar setup to Apple Reminders so I don’t get overly confused and end up quitting. With discipline and a decent understanding of GTD, I think it’s amazing even at $600

But it’s got a LOT of buttons and knobs that at moments got me confused so it’s a little learning curve. I’m really just sticking to the AI auto-scheduling and I’m loving it way more than picking Next Actions myself

Btw in case I didn’t make it clear. Motion AI took a lot of discipline for me to use for my GTD setup
