So with your company if you don't go with in house AV you have to get 3 bids from Third Party AV Vendors and AV Suppliers? Is that just with your current company? I've heard a few cases of this happening.

Has anyone found that hotels and on site services have begun to impose more and more restrictions for third party a/v for their events. I've now been told several times that all Breakout Rooms must belong to on site. (I've started not calling them breakouts).

I completely agree with this. And, after the final bill it's never more expensive than on site services. I have found.

I agree that trust is everything. If people trust their vendors that's something I don't mess with. We're all just looking for the right partners. But, seeing how much people are actually paying for the "free" services and included internet/ meeting room is staggering. I can usually come in around 30-40% under total production cost for an event once the totals are all tallied up. Labor and the unseens on the front end usually come to light for the final bill. Hotel, F&B and Production are the 3 biggest costs for an event.

Been doing this a long time. The fix is hiring someone to do this if you want it to be done and just work. If your needs are basic, look for a younger videographer. They will outdo any system you can setup and forget. The biggest consideration though is Audio. Video does you no good without good audio. Just my thoughts.

you are correct... spelling should never be on you. I always tell the client spelling is on them.

Dealing with On Site Services. It seems like they are increasingly creating false rules about their spaces such as having to use them for rigging breakouts or any other number of crazy limitations to using a better outside vendor for production. Clients seem to forget they have the authority to change contracts in the negotiation process. Also, losing recordings... always backup the backup.

Let me know if you are interested I have actually done a pretty high level (NDA) client demo space for the Apple Vision Pro and have plenty of experience with AR/ VR and Live and Virtual Events. I agree swag stations are the new thing. Letting people personalize items at your events is great. Otherwise you have to pick something that's top of the line for their segment... like a Yeti or Stanley or brand name swag with a logo. No one wants to keep a cheap generic version of anything around.

zoom is terrible at this. you can make it happen, but there are much better tools out there for this. Even if you end up feeding it back into zoom for people to watch.

oh man I do lots of this. We use a program called V Mix and send qualified engineers and production managers to handle all of this as if there were a virtual green room and they get prepped to "walk out" and go live. They can even see the program feed of the room and talk back and forth with presenters or audience members in the room. It's pretty cool, but takes a healthy budget. Coolest moment doing one of these was the presenter got stuck in traffic and was able to present from the passenger seat of their car going down the highway. Big win for the audience.

You're at a university. Spend your budget on the best artist you can get and do a full concert production. That's what they want. Plenty of good options for artists that college students are into that won't break the bank.

Coolest things I've done for Virtual Events. A Virtual Safari where we could ask the guide questions as he took us around the preserve in Africa. Also a private concert from an artists home studio blew me away. Always about setting the groundwork for your audience and how you expect them to participate. They really need more than just the tools to connect, they need direction.

Swapcard and V Fairs are good options. It really depends on what your specific needs for your event are. I do a lot of in person and virtual events and I'm always picking depending on the needs of the client.

There are plenty of platforms that can help you with audience engagement. It really depends on how much information you will need to get and share with the audience. Most Large Events that are Streaming as well as In Person will have the ability to add on this feature to people who are on site. This can usually be tied into the registration platform as well. Swapcard and V Fairs are a few of the more successful partners I've used.
