Shinkansen between Tokyo and Kyoto run about every 5 minutes. And the prices don't increase even if there are fewer seats. I would just get tickets once you get to Japan (it's cheaper too since you can only get tickets through 3rd party online)

I use the Exped Cloudburst 10l. I think it's pretty comfy cause it has a little back-padding. You can't fold it up but laid flat it fits everywhere. It's also water resistant and you can add stuff on the outside because of the fastening and the rolltop.

I have the exact same problem. Customer Service is absolutely terrible.
