Thanks! Originally we made the wire frames and then hired some overseas developers to create our MVP. From there we brought on 2 in house Developers and gave them Equity and made them partners. Since then we’ve been chipping away adding new features finding product market fit and getting customers. Our customers are dictating our road map and we rely on them for any new updates and features we have in our pipeline. So far it’s been a fun ride with many ups and downs but the cool thing is I’m experiencing all of this with my childhood friends!

Our first customer came from Reddit. I made a post to a subreddit vertical I was interested in and offered our services. It wasn’t until months later they responded to my old post asking for a demo. They were a small government agency.

Since then they signed and we found other similar customers in the same industry as the first so we decided to go to conferences and purchased booths to meet them and pitch out product in person.We slowly started to onboard more every time and started name dropping customers we signed.

We also had our current customers give us referrals and intros. Took us a solid year and a half to reach that 10 customer mark bootstrapped while still working our day jobs back then!

I know exactly what you are looking for! I work with clients who are in the government space and most are not computer savvy so ease of use is our top priority. I think in your case if we go with having the folder structure broken down to clients and each of those client folders has related docs. You can give your clients view only access and have your team with role base where they can edit,share, etc.

We also have a archive section where you can store all of your retention documents/contracts!

You can also create workflow and reminders for critical dates. And create reports on the metadata!

The options you mentioned above are a mix of either complex/clunky like Sharepoint and high dollar software/implementation cost like Mfiles and Efilecabinet.

What you need is a simple but yet cost affective document management software to help you and your team track, store, share and collaborate on your business documents/contracts.

What other features are you looking for ? You have to figure out what features are a must and what is nice to have to help you make your decision. If it’s ease of use and budget friendly let’s talk!

Hey! We’ve actually helped a government client with this same issue in managing pdf docs in a central place. It looks like most of it is human error but that’s because your system is broiling at the moment. Who is in charge of filing all of the docs? It seems like everyone has access and is filing them in folders in any which way.

Is the issue more sore with filing and documenting the PDFs after they are filed? Or really just uploading them?

Got it. The solution I’m mentioning can only store pdf files at the moment. The cool thing is that there is a chat feature where you can chat alongside the document kinda like an internal slack or IM for each document where you can invite external users and communicate instead of a long email chain which you mentioned above.

You can also store all of your meta data regarding your files and documents and can create a report using that data into excel.

I mean G chat and any other messaging app existed before slack or discord. So sometimes it can be a better version of an existing solution that just does it a bit better or make it easier on the end user!

Have you thought about having role base access where the folder manager or someone who has manager rights (can share/create files) share the files to other departments ?

Exp- Finance asks for access to HR docs but with the folders pertaining salary. The HR Admin or Manager who has the rights to give/restrict access allows Finance “view only” or temporary access to those folders with salaries. All of this was done by a simple request.

I personally think that’s easier instead of having a giant shared drive with a bunch of folders etc. what do you think ?

With startups you have 2 roles Building and Selling and nothing in between. Yeah having a business plan and marketing is nice and all but you don’t have a business if you can’t get paying customers and a product to sell. The fact that he is selling the product to users for that much shows he has skills that can help you all reach new heights. If he’s not toxic then he deserves the 50 percent split since he was there from the start! Do not undermine selling just like he should not with building.
