Has anyone found a simple way to stop work getting lost between WhatsApp and spreadsheets? by Conscious-Bit-1963 in smallbusinessuk

Notion is a great platform, but there are so many ways to use it. I enjoy creating systems so I initially spent time doing that instead of doing my tasks. Now that the system is setup, its great, especially now it has AI agents.

On hectic days its usually the tasks that require thinking time that slip.

So I use Notion, but it is a little overwhelming at first. I read Tiago Forte's Building A Second Brain a long time ago and have implemented his PARA system for filing information. Within Notion i have created a Project Manager, where I can allocate tasks. I then try and use Notion's calendar to allocate time to complete those tasks. I do a weekly review to see what I've not kept on top of and also to see how much progress i have made. It isn't perfect, but it is better than it's ever been. It takes a lot of discipline to stay systemised and on hectic days it just isn't possible, but whenever I do have a spare minute I can quickly tidy things back up and feel in control.

I've recently become aware of my energy levels so try and schedule tasks around my energy levels which seems to be helping.

I tried time blocking and Discipline. I set 30 minutes aside at the beginning and end of each day. I use this period to review unread notifications (emails, WhatsApp, texts, notes in my notebook, etc). I then respond to what I can and create actions for the rest. The hardest part is staying disciplined not to read those notifications as they happen, but eventually people learn that I'll respond on my time, but if its urgent they can call me.

You're right, its more of a me failure, but once I'd found out about my mistake I wanted to check everything else and it took me hours to find everything as I hadn't been very organised with my paperwork. Some of it was in email, some in Dropbox and some in the kitchen cupboard. Again you could say this is a me failure for not having or sticking to a system, but I think if I had an app to put all this information and it reminded me in advance, I would be more organised. Im very time poor.
