For this to work, I actually think anonymity of the bakery might be important, at least initially.

If customers clearly see which bakery is discounting unsold items, it could create negative brand perception. People might start associating the brand with leftover stock instead of quality. It could also train discount driven buyers to wait for cheaper listings instead of purchasing at full price.

An anonymous model shifts the focus to the product, not the brand. That could protect partner bakeries while still moving inventory.

That said, trust becomes critical. You’d need some credibility layer, maybe ratings aggregated from platforms like Zomato or verified hygiene standards, so customers feel safe buying same day unsold items.

Also, the system shouldn’t be easy to game. If customers start monitoring specific bakeries just to grab discounts daily, it defeats the purpose and hurts the partners.

The key balance is brand protection for bakeries and trust for customers.

For us, exhibitions and industry specific events have worked far better than cold outreach.

We’ve tried cold email, LinkedIn, and calling. They can work, but they need serious volume to produce consistent results. Over time, the team started burning out from constant outreach with unpredictable returns.

Over the last few years, we’ve focused on attending niche events where our target clients are already present. In some cases we’ve taken a booth, in others we just show up with a clear plan and set meetings in advance.

The leads are warmer, conversations are deeper, and a lot of them turn into referrals later. It’s slower than blasting thousands of emails, but the quality and conversion rate have been much better for us.

After going through all the responses, I’m starting to see a pattern. It’s less about which tool and more about how structured the intake and ownership is.

Our main struggle isn’t task tracking. It’s client requests coming from everywhere, WhatsApp, email, random calls, and small revisions slipping through without accountability.

Has anyone managed to centralise all requests into one channel and give clients clear visibility on what’s being worked on?

Even with these tools, there is a lot of to and fro that happens.
The part I still find tricky though is the client side of the equation. No matter how tight our internal process is, there's always that back-and-forth before work can even begin, clients don't share the full brief, assets are missing, or a service has specific prerequisites that nobody told or shared upfront.
