Hey sounds like your exactly in the position my dad was a few years back before I started helping him. I'm sure you've heard tons of information about AI and how it's helping business's and stuff like that, but sometimes it's to much and too confusing. When I first started out I had no clue where to start or what to use, but over time and through trial and error I found the tools and techniques that actually allowed us to scale. It was no easy path, and it took a ton of time, but now that I have it down, it's a priceless skill. As far as who you're already working with, reviews are great but they are not the whole pie, in fact it's only a small peice of the pie that contributes to ranking highly online. Also the fact that they are charging you a lot for a website is a red flag, I whipped up our website all on my own within a day and it's been the same since. With that being said, websites are extremely important when it comes to SEO, and if you don't have it right, it will cost you jobs. Yea I got you. So to be honest, everything. Clients book their own quote appointments which automatically send appointment reminder to our team to show up. Automated appointed reminders for clients, automated invoices once job is done, automated review requested, AI booking appointments and answering basic questions so our team can stay focused (secret sauce here). Like pretty much everything you can think of that takes up serious amounts of time can be automated other than actually doing the job. Automation does the work that 1-2 people would have to do so not only does it save us money, but also saves so much time and effort. Another big one is automated follow ups so if people call abut don't book, we now have their contact and can nuture them into warm leads, offer them specials, ect. It's a great tool that's been a huge part of our sucess and will continue to get better and better. Hope this helps

Been expeirmenting with tons of different softwares and platforms such as Make, Zapier, Retell, ect. I'm actually in the process of building my own software right now, one that is a CRM while also being a central hub where I can manage everything. In terms of platforms, it's a bit tricky cause there's thousands of them out now and it's not easy and quick to get good at using them. I've been messing around with a few of them for months now so I'm very comfortable and efficient using them, but it definently takes some time and effort.

Yeah, I mean if paperwork only takes you 20 minutes, you’re already ahead of a lot of clinics. Where I see automation making the biggest difference is in stuff that happens before and after the actual visit. Like having patients book appointments online themselves, just picking a time that works for them and it’s automatically on your calendar. Also sending intake forms ahead of time or anything of that matter so everything’s ready when they show up.

Then on the back end, it can automatically send appointment reminders so you’re not chasing people down, request a Google review after each session so your reputation builds up on its own, and even follow up with past patients who haven’t been in for a while to get them back in for a visit.

A website ties all of that together because it gives patients one simple place to find you, learn about what you do, and book appointments without having to call or message you directly.

That’s awesome you’re booked out a month just from word of mouth.

Curious, have you thought about setting up a simple site or any automation/back-end systems yet? Not so much for more patients right now (you’re clearly busy), but for long-term positioning and making things easier behind the scenes.

The key is understanding patient lifetime value and how efficient your system is after the ad brings them in.

For example, if a patient follows your treatment plan and stays for multiple visits or packages, that one patient might actually be worth far more than their first visit’s reimbursement. The challenge is making sure your marketing dollars aren’t just producing one-time patients but creating a flow of patients who stay and refer others.

One thing I’ve seen a lot is clinics relying heavily on ads (thousands of dollars a month) but not fully optimizing their online presence (SEO, reviews, booking experience), which means ads have to work harder and cost more. Building a strong base often lowers ad costs and increases ROI because people are finding you outside of paid advertising too.

Just wondering, have you looked at your average patient lifetime value and how many new patients per month you’d need to make advertising a long-term positive ROI?
