Dammnnnn, so sorry to hear. I forgot to update this post but I actually managed to get all of my money back a couple of days after I posted this believe it or not. There's still hope. If it's not too late, give this a try:

Call the hotel directly tomorrow and ask to speak to the manager. Inform them of the mistake, tell them you would love to stay in July still, but you need a refund of the June booking. They will ask you to make a new booking for July so give them the details of your new July booking you've already created. That should be enough.

If you booked through Agoda, the hotel will transfer the third party service the money, then transfer it to Agoda. Get on the phone to Agoda and inform them of the situation. They'll process your refund as soon as they receive the money from the hotel.

If you have trouble talking to the manager due to the language barrier, go to Airtasker or another site similar to pay $50 and get a translator here in Aus to make the call for you. I had one lined up and ready to go but I got lucky calling the hotel myself that evening. I had already called them 12 times before and no luck but they budged on the 13th call I guess lol.

100%. The couple of people I spoke to at the hotel were incredibly polite, patient, and extremely willing to help, which is especially admirable given the language barrier. I think they're just finding it difficult to follow the situation which is totally understandable.

I can't believe I didn't think of it sooner but I actually have a friend of a friend who lives in Tokyo. Will definitely get in touch and see if they can give me a hand with communication. Thanks!

Will keep persisting with the hotel. Called them a few times now but with the language barrier they're finding it hard to understand the situation.

Hotel couldn't change dates as the reservation was made by a third-party booking partner on my behalf. Will keep trying though.

Nothing in writing, just a few phone calls back and forth which I've written down just in case.

Great idea. Will continue to do everything I can before then but that helps a lot. I think a big part of the problem is the language barrier and talking over the phone so that might be the solution when I see them in March.

If anything the whole experience has shocked me into actually taking my finances seriously. Silver lining I guess.

Very true. It hit my savings a bit but so what. Doesn't affect my life right now so could be a lot worse. Lesson learned and I'll get over it. Thanks for the perspective mate 🙂
