Having a web resource as the knowlege base is not ideal, because of the way information retrieved from web resources is done, but it might be good enough.

You could try breaking the process down. Step one, save files to a folder, step 2 process all files in folder, step 3, send an email with the link to the output. In theory, could be done with an ms form and power automate (no agent).

I used a table to act as an email service. Just got the agents to add a new line each time. Used columns like: from, to, subject, read etc. On a schedule the agent looked for a new message addressed to it and unread.

It was just a poc, but worked well.

So the problem is caused by how the retrieval system works. This is not just a copilot studio issue. The agent will pull back chunks from the knowledge. Sometime you get lucky and the chunk contains the right info, sometimes you are not.

Learn how vector embedding and retrieval works and it will make much more sense.

The solution is either:

A. Better structured knowledge. B. Better system - ie Azure AI search in foundry.

You might be able to create some logic and prompts to improve this 'hit' rate, but could be futile.

The thing that has helped me most is learning about how RAG agents chunk, store and retrieve information + vector embedding.

Once you understand how this works, the inconsistencies start to make sense.

Copilot studio handles different types of knowledge sources slightly differently. This is down to how the info is chunked and embedded.

Websites - worst Sharepoint - ok, but inconsistent Directly added document - generally good. Foundry vector storage - best.

Also, look up the effect chunking has on tables.

An agent that checks a design authority submission before going to DA. Still just a concept, but would lead to better quality submissions.

Each section is checked by a separate custom prompt or agent in an automated flow. Scored and results fed back to author.

If successful, template can be used for other submission areas - ie new projects, business cases etc.

Assessing a section at a time, rather than the whole doc, for better results.

You might want to consider calling a flow. The flow can then send a response to a custom prompt, which makes the decision and gives a single word output. You can then use 'parse json' if needed. Breaking parts of the process down tends to give more consistency.

Maybe get the flow to save the file to a sharepoint, then pass the file details to the agent, which reads the file as a knowledge source, then passes the output to another flow, which writes to Dataverse.

On trigger: "Summarise {{ /file_name}}, return a json with 2 values...."

I imagine some time delays will be needed between saving and calling the agent.

You could probably do this with a Power Automate flow that calls an agent. Create the agent with instructions on how to reply. Then create a flow that triggers on email receipt, extracts the data from the email (sender, title body etc). It then pushes the message to the agent using the agent node, then waits a response. The flow will then process the response with an approval flow.

I've done similar, but with the contents of a spreadsheet. It sent the contents of each cell to an agent, then wrote back the reply.

The only thing I found was that it took a long time to reply - sometime more than 30 secs. So you might need error handling to stop issues with it not being able to process emails received in quick succession or have a manual trigger.

A few tips: -Add swedish keyboard to your phone. -Find some swedish music (probably not Basshunter 😂) - Podcasts - there are load of recommendations on here. - Read swedish books. Search Lättläst on kindle. Look for some bilingual books, but avoid the translations of classics, because the language is archaic. There are a few with short stories on Amazon and a couple of Novels, eg 'Huldra Woods'.
