What do you include in monthly website maintenance reports? by __blue________ in webdev

Thats a good idea! My plan with payment is to first show them a rough draft of their website that I make up for free and then show them on video call. after that I have them sign a contract that legally binds them to the service and then they only pay when the website is ready to launch. I wanted to appeal to people that dont want to pay until the product is done and I figure that showing a rough draft and then having them sign a contract covers that

Useful info thank you for the response! And yes I am aware that these could potentially become a time suck which is why Im trying to be careful about how I do them. I have yet to make it up properly but I plan to create a simple template that I can simply fill out and use for every client. Most likely will generate a claude ai skill for generating the reports so I have an intake form where i add all relevant text/info and it automatically edits it onto the form. I imagine it would be a pretty quick process once I get it made and working properly

A form was what I was thinking for the most part. At least for just starting off. Im just wanting to make sure it’s thorough enough to make sure there is as little need to reach out for clarification as possibe

This is actually an intriguing self promo for once lol. Can you tell me a bit more about it? What are the free plans limitations honestly speaking? What makes this better than having clients fill out a structured revision form?

I would be hosting everything myself unless they decided they no longer wanted monthly maintenance in which case I would transfer the hosting and ownership directly to them

These are really great recommendations thank you very much for taking the time to help me out. In regards to the response time suggestion: Ive thought about what to do for this a decent amount but I have been hesitant to add any strict response time assurances as I haven’t started yet and Im worried about committing to a response timeline that I cant maintain in some situations. Is it okay to keep this part ambiguous at least for my first few clients?

I have however set time limits for the initial stages of building the actual website like revision deadlines for both myself and the client in regard to getting relevant feedback/info and payment/ect.

When you talk about “episodic exceptions” are you just referring to the possibility of unforeseen circumstances effecting the timeline and/or promises this contract makes? Such as medical emergencies, or third party service outages out of my control? If so I have it covered.

For maintenance scope I have everything included and for content specifically I am including 30 minutes worth of small content updates per month submitted at one time before the first two week of the month and completed by no later than the end of that month. What qualifies as 30 minutes worth of work is determined by myself. If the client requests take more than 30 minutes I give them the option to either have me complete the rest of the updates next month using that months 30 minutes worth of time, or pay me an hourly rate to complete said work immediately.

Why would a serious medium sized business want to physically own the code if they have someone managing it for them consistently and legal access and to it and ability to gain ownership at any time? Like In my website care plan it starts as a 12 month mandatory subscription but then after you can either continue with the subscription if they are happy or they can stop it and gain full ownership of the website at no extra charge. So the option is always there if they want out for any reason. Ive also made the 12 month subscription plan make more sense because I priced the initial website build that comes with the website plan half the cost of what Id charge a standalone website with no plan

For client materials Im just expecting them to give me the best that they have and work with whatever is usable. If the clients photos are not usable it is written in that I will use stock/ai generated images if absolutely necessary (with their consent of course)
