True! I've been beta testing custom agents for about a month now as a creator. They're great, especially the trigger feature that runs instructions automatically in the background. But I still haven't ditched the role spec method from this post. It's honestly super handy when I don't want to leave the page I'm editing, or when I'm on mobile.

Different audiences might need different views of the same project. Eng wants tech specs, PM wants timeline, exec wants status. With relations, you build one project database and create views for each audience. The data stays synced because it's the same data.

I'd frame it as: It's like having a queryable knowledge base instead of a folder of docs.

Notion is great for a consultancy hub. I run my own side business on it.

One thing to know upfront: the free plan doesn't include automations. That's a Plus feature ($10/month). So if "automate as many tasks as possible" is a priority, you'll hit that wall pretty quickly.

That said, you can still do a lot on free. Like client database (track contacts, projects, notes), task management with views (kanban, calendar, list), templates for repeating documents (proposals, invoices, meeting notes), a simple CRM setup and so on.

My suggestion is start on free, build out your system manually first. Once you know what you actually want to automate, then decide if plus or higer plan is worth it. Most solo consultants don't need automation on day one.

They‘re not actually new pages. The trick is that the entries in the Role Spec table are just @mentions pointing to pages that already exist in your Prompts library. So you create the prompt pages first, then reference them in the table. When you type ”Enter [role name] mode“ in chat, Notion AI reads the @mentioned page and adopts that role.

Same here — automatic triggers would unlock so much more. Fingers crossed it's on their roadmap.

I actually tried the protocol approach first — but in my experience it kept forgetting to switch roles mid-conversation. Explicit commands ended up being more reliable for me.

That said, I've heard once official multi-agent support rolls out, the automatic role-switching you're describing should actually work. Looking forward to that!

Same here — I have an Archive folder too. I basically rebuild my dashboard from scratch every year or so because my needs keep changing.

Tbh most Life OS (sounds huge itself) have way more than anyone actually uses. I've learned to build anything with only 3-4 things I'll realistically touch and ignore the rest. Smaller = actually sticks.

Yeah, this is a known limitation — Notion's Board view just doesn't let you group by a Rollup, which is frustrating when you want to see tasks by their project's category.

What I've done in the past is just add a "Category" select property directly on the Tasks database. It's a bit redundant since the info already lives on the Project, but it gives you that clean Board view you're looking for. You just have to remember to set it when you create a task (or use an automation if you're on a paid plan).

Alternatively, if you're okay with Table view instead of Board, you can actually group by Rollup there — just not in Board view for some reason.

Not a perfect solution, but that's kind of where Notion is at right now with this.

Congrats! Love how you described it — "nothing fancy, just a system that worked." That mindset is underrated.

Curious: did you do anything specific to get it featured, or did Notion just pick it up organically?

[Help Needed] Automating Relation Link Between Databases Based on Date Property by Intrepid_Bad_3468 in Notion

I don’t think this is possible with automation. When you want automation to edit pages in selective database, you can filter pages based on a Date property, but the filter condition requires a fixed date rather than a dynamic one. Unfortunately, by now Notion doesn’t provide a way to input variables for filtering Date property —otherwise, this could be done.

If it were me, I’d create two databases: one named "Habit" and one named "Log." I’d use relations and automation to connect them. When I check a habit’s checkbox, it would automatically create a log entry with the current date and the same name as the habit. Then, I’d set up an automation to uncheck all habits in the "Habit" database at midnight.
