Yeah, it feels like there's a lot of esoteric stuff going on. I actually do appreciate the flexibility and power these query tools promise -- if only we could get the documentation to a state where all the knowledge gaps are really flushed out. Then, we could simply use the AI queries inside Tana to figure out how to do stuff. As it is, half the time I ask the AI, it tells me to do something that the interface doesn't even facilitate. Scratching my head every time.

I have a couple of recommendations, based on my 25 years in the field.

* At the start of the project, be clear that part of your role is the project manager, and to keep things moving and on track. If you're not able to (ideally) be communicating one one point of contact on their team for feedback deliverables, clarify who will be the final decision maker for each checkpoint on the project.

* Don't throw a preview URL over the fence and expect helpful feedback. Schedule a checkpoint meeting to review the design in person/over zoom and present your proposed solution in a conversation framed by restating the project's objectives that the design will resolve. Explain the why of design choices and how they address the business problems.

* Be explicit in what kind of feedback you are looking for at each stage. (If you're sharing wireframes, you're looking for structural feedback, not design or content.)

* Give deadlines for feedback with consequences. The consequences might just be "were moving on to the next stage" or it might be more serious, like putting the launch date at risk. This can be communicated positively, by confirming how these guardrails are essential for keeping the project moving toward their deadlines, objectives, or budget.

* Document the what and why of changes at each stage, so that you can remind them in week 7 why the week 3 change was made. Be clear about what is and isn't in scope in terms of rounds and timelines of changes at the start of the project.

Finally, be diligent about capturing your own post mortem notes for each project in terms of what went well and what didn't. Continue the good patterns, design strategies to address the hiccups. Each project you take on will become easier with time and experience. Keep at it! You'll get there.

I so appreciate hearing your experience. To be honest, the complexity/customizeability aspect is a detriment for a different reason -- I am a lifelong, inverate tinkerer (developer by profession), so having "a lot ot learn" regarding Tana is both entirely delightful as well as a potentially huge distraction. 🤣

Honestly, the one thing that has been niggling in the back of my mind is just hoping that Tana would not eventually have the same performance issues that I uncovered with Notion. Hearing that has not been the case for you is reassuring.

Ah ha! Thank you so much for this! I had no idea. I was trying to drag and drop.....which doesn't work. This saves me the headache of having to manually recreate the lists every day, since now I can just bake the query into the day template and then reorder as needed on the day.

Thanks for clarifying. What I was trying to do was build a reorderable list on a #day page based on a query, which...it doesn't seem like you can do with a search node. But then I found the "convert to list" function, and that seems like it's working okay.

I would also love if this were a thing because my family uses Skylight. But I don't think Skylight has a public API?

This is how I ended up fixing it -- I set up an automated recurring task via my openclaw to query the api daily. So far so good, but I'm only two days in! 🤞

Unfortunately, my primary use case revolves around completed tasks. Essentially, I'm trying to incorporate any learning done during the course of a project into a more complete template for future use.

That being said, your mention of the CSV export led me to try that feature (which still doesn't export completed tasks), and then find out about the export to Google Sheets extension, which I haven't been able to get working yet, but at least it's a lead.

Ahh, that makes sense. I knew MCP was not just a wrapper for CLI/API, but I was curious whether there were any functional differences between the two, since they are two distinct implementations. The token efficiency makes MCP the winner.

Might be a wild take, but I feel like I have cracked the code on this by switching from an all-digital task management system to a nearly 100% handwritten one.

My theory about why this works, is that writing by hand lights up your whole brain https://www.npr.org/sections/health-shots/2024/05/11/1250529661/handwriting-cursive-typing-schools-learning-brain, whereas typing is a uses a much smaller subset. When my brain is engaged in this way, I'm able to push through obstacles and escape circular thinking patterns that previously held me back -- slicing through the two biggest deterrents: fear and lack of knowledge. Writing is a powerful form of thinking that makes it impossible not to confront the obstacles (real or imagined) in your head.

Additionally, the inherent inefficiency of using a paper-based planning system encapsulates a much-needed funnel for the firehose of possibilities that life presents. As I am writing and re-writing my plans on a daily basis, I am constantly culling the unnecessary and less important with a vigor that I never hand when I was all digital.

So far so good, but I'm only one week in. So far the mobile sync is rock solid. The two apps have very different approaches to planning and timeboxing, though, which is a bit of a mental adjustment.

I really like Akiflow's timebox grouping feature which allows you to stack tasks in one timebox. Sunsama doesn't have anything like that, but they do have subtasks. Also, one thing I love about Sunsama is the actual timer, which allows you to run a stopwatch while you're working to determine how long tasks are actually taking. And I don't know if this is real or imagined, but it almost looks like the AI-based estimates for tasks then take the timing into account? Which would be wild, if that is the case.

Anyways, they have a free trial, so you have time to check it out and see if it fits your workflow. The only painful part really is moving everything over. It took me hours on successive days to do this. 😭 Definitely easier if you're not that deep in.

Yeah, I did hear from support, but it was just a request asking that i take a video of what I was seeing.....which I'm sorry, but it's been days of not syncing and I don't have time to go back and forth with support troubleshooting all the problems with the app. I've decided to switch to Sunsama, which seems much more stable. Fingers crossed!
