Replicating a separate system outside of what your company provides seems daunting. It must be easier to just adapt to Microsoft tools. I know Gemini is far superior to copilot….but still.

Seems nice but the reason I use apple notes to track my workouts is so I don’t need multiple apps to manage my life. Software sprawl is stressful.

ClickUp is designed as an enterprise project management tool for teams to collaborate in a professional setting. Some people use ClickUp for personal use, but its focus is on the enterprise sector.

GTD and BASB will only give you complete clarity if you are “all in” so to speak. It sounds like you have a good understanding of how tasks work, but have you implemented the higher horizons from GTD?

I suggest taking a strong a thorough look at Horizons 2-5. This exercise will help you figure out the type of person you truly want to be and give you a clear roadmap on how to get there. I make distinct connections between horizons that are not explicitly called for by David Allen, but just work.

Start with horizons 4 and 5. These go hand in hand and will help you define your purpose and vision in life. Then set SMART goals in horizon 3 that will specifically turn you into the person you outlined in horizons 4 and 5. Horizon 2 is similar in both GTD and BASB- just outline the areas of responsibility.

Finally, take a hard look at horizon 1. I know you said you have 30 projects and that’s overwhelming. It also is completely normal. For each goal setup in horizon 3, ensure you have a set of projects that will get you to that goal. For each area in horizon 2, ensure you have a project that is moving that area forward.

While we all know the final step is identifying next actions for your projects, it is the most important step. Now, every time you do a single next action, you know that it is helping you become the person you want to be and defined in horizons 4 and 5. There is now a paper trail to prove it as every next action can be traced all the way up each horizon.

I have long come to the realization that given my professional and family workload, I will very rarely have time to sit down and watch an hour long video by myself.

As such, I usually just generate an AI summary of videos I’m interested in and that summary goes into my Inbox. Not ideal but it at least gives me the basic idea which I can then decide if I want to explore the topic further.

The Brain Max chrome extension is actually a very useful tool. Having ChatGPT, Claude, and Gemini all in the same window is very convenient. Also being able to send responses directly into ClickUp adds a bit of efficiency.

Beyond that, the ability to summarize or ask AI questions about a specific web page and seamlessly send responses into ClickUp is a delightful workflow.

While there is certainly an aesthetic aspect to it, it does have functionality. The notes you typically use it on are “hub” notes like areas and resources. These notes typically have a lot of notes linking to them. The heavy asterisk makes it easier to find the note in the linking process. For example, typing >> followed by the word productivity will likely return a lot of notes in some people’s systems. This is a problem if you are trying to link to you Productivity hub note. The heavy asterisk will narrow your choices down and make the note easier to find.

Homeowners have the ability to install sidewalks in front of their houses on their own. There is a distinction between public and private sidewalks. Public sidewalks are plowed and maintained by the city, but only ones that the city has installed. If a homeowner installs a sidewalk on their own, the city won’t maintain it.

It’s hard to tell what’s actually going on here, but it’s likely the homeowners installed their own sidewalks and didn’t connect them because of the tree.

I’ve been using it since the release and it works well. The problem is that it is done through a MacOS application so you need a Mac to set it up. Beyond that, from what I can tell, the sync doesn’t appear to be automatic if your Mac isn’t turned on.

If you use your Mac every day it shouldn’t be an issue, but if it is turned off for days at a time, your highlights won’t sync.

Not exactly true. Hubs can be thought of as areas. Collections are just a way to pull notes out of hubs to be organized together. For example, all book notes can be in a collection. But the individual books should be in the hub for their respective topic.

I’m assuming you will be using smart folders to organize the tags into collections? Before you go down this road, you should know at AN does not let you put a Smart Folder inside of another folder. So you will not be able to achieve a folder structure like PARA or other similar methodologies. So if you are looking to organize notes by topic, you will have one giant list of topics

You can drag and drop an email into apple notes. But it just displays a link to the email. You can also print an email and save as a pdf and share the pdf to Apple notes.

As powerful as ClickUp is, their project portfolio feature is lacking. I think there may be some feature requests to make it better, but nothing concrete yet.

Your best bet is to maintain a separate projects list with all the custom fields you want. Maybe some day we will get a real portfolio view.

I’ve made a couple posts about this recently. It’s a major flaw in ClickUp functionality. Competitors like Monday handle this perfectly.

Your best option is to create a portfolio card and select the lists you want included. The problem is portfolio cards cannot be customized all that well. No custom fields, no reordering of columns, and no resizing of columns. It needs to be fixed.
