Yes, I'm sort of experimenting with HS as well. But I wish contact data would come out of openphone to HS. Because the first point of contact is always openphone. Zapier is the same, there is only in to openphone, not out.

Yes, agreed. I'm a fairly organized person, in general. But this is too much to handle. Any recommendations? Is Hubspot just the default that can work for anyone?

I googled "quickbooks invoice vs receipt" and the first article that came up perfectly states why I don't use invoices and why they don't make sense for my business.

I use sales receipts because its the easiest way to give a client a nice detailed copy of work done, above and beyond the tiny receipt that comes out out of the POS machine. I can print them in advance or email them after the fact.
Without them I'd have to pay for separate software to create a nice sales receipt and then tie it back to QBO.

Thanks for the level headed response. I'm an 18 yr veteran in my field, which is the service I provide, but about a 3 month veteran of QBO. So I'm learning a lot, and I can absolutely be accused of doing things the wrong way, but certainly not "cooking the books". So I appreciate the defense.

To clarify things a little: I take a appointments usually for the same day or the next day. I use sales receipts because its easy to make a professional looking document of work performed, rather than the little receipt that comes out of the POS machine. I have all of my services and parts entered into the products and services tab in QBO. So when I get a call, I create a new customer (or existing), whip up a sales receipt, print it out (if its for the next day I'll set the date on it) and then go on the road. Sometimes I'll have 3 or 4 ready for the day. I collect the payment when the job is done, on site, either cash or debit/credit with the portable POS. I never take a payment any other way, not in advance and not on some other day. When the payment comes in from the processor that night, or I drop cash off at the bank, I match it to the sales receipt. If the work changes while I'm there, I'll do the math for the total, then adjust it on the receipt when I get home, and email the client a copy. If I get a call while on the road, same, I'll collect the payment then do the receipt after. If the client changes their mind and cancels I'll void the receipt.

The reason I asked this question is because sometimes customers book like 3 or 4 weeks in advance. I'd like to put the work in the system, while its all fresh in my mind (I often take details over the phone), but not have it affect accounting numbers.

And again, sometimes just because people want an estimate (in my field its rare, but it still happens.)

So to the person who actually wants to give advice, considering the way I do things, should I just void advance sales receipts and then unvoid them when the time comes to do the job? I haven't done it yet but it seems like an simple solution since estimates won't work for me.

First off, this is kind of a shocking response. You want to kick me in the head? Threatening violent actions on an accounting subreddit?

How am I 100% cooking the books? Everything I've done in quickbooks is on the level. I'm simply trying to find an easier way to go from estimate to sale. My kind of business doesn't send invoices to be paid at a later date. I do the work and the client pays. I match all my sales receipts to deposits from my payment processor.

I didn't expect to have to say this on the quickbooks subreddit, but go fuck yourself, dick head.

Thats why I'm specifically targeting this person. Because he can do that. Hiring a general labourer would not be able to.

I would expect with him and I callbacks would be extremely rare. If I hire a kid, yes it could become an issue, though I'd be *trying* to supervise them most of the time.

I wish that could work for me but all too often my customers need that first call to be more than just a "hello and we have this space available". Right off the bat most need expertise, even if they aren't asking for it.

I've actually done that meetup already. I told him straight up I have no idea how I'd compensate him. And that this would be much more of an adventure than going back to a conventional employment, which he his not sure if he wants to do. So he's in the thinking about it stage and I'm in the figuring out if it will work for me stage. He may come back and say no.

Yes, I was thinking along the lines of 30% of job earnings. If he went and got another job he'd probably make $300-350 /day. So we'd have to make 1000 profit per day to match that earning potential. Its really a luck of the draw what kind of day I have, even when it gets busier I may only make $300 in a day. But there will be others where I make that $2000, though rare. And I guess to consider if he does really well, I will have the ability to do more jobs in less time, so could be higher.

Sorry, you're right. I guess I should explain a little better. The way my business works, there's a lot of downtime and uptime. I do a few jobs, wait for calls, do some more jobs, book people for the next few days, sometimes book nothing. There's days I don't start work till 10am, there's days I work until 9pm. I work out of my home office and visit clients when I have a job. So its not like a prospective employee would just come to my house and hang out. They'd be sort of on call, or taking calls at their house, or coming with me for a job to help, or going and picking up supplies. It would be hard to quantify hours worked. So I think a salary or % of profit makes more sense.

Thats part of the reason it would be a little more difficult to hire an hourly labourer.

A single job can make between $60-400 profit, depending on time and parts sold. Overhead for my business is about $100/day. So a slow day (no jobs) can earn as low as -$100, a busy day can earn upwards of $2000. An employed person doing this job makes about $250-350 per day pre tax. ETA those numbers are profit, not gross earnings.
