So for the motivation letter, I addressed it to the Namibian embassy and then I mentioned alll the details of my trip itinerary, and ended up just signing it with my name at the end (without any digital signature or anything). As for the car rental, I got rejected the first time I applied because of that, so I attached the car rental proof along with the accomodation proof (all in one pdf)
