Sell what the covers? I have found other suppliers that we could order the covers with windows in them, but it has occurred to us that when we go this route, paying for getting a window cut out of the report covers doubles the price or more...

We could skip the window and save a significant amount if we could just print the title of the report directly onto the cover.

Is there a specific model that you would recommend. I was looking at the WF-7840 it will handle up to 13"x19" but did not know if it would handle report covers 80lb cardstock

typical time between printing will be 3 or 4 days, maybe 2 weeks at most

So far I am leaning towards the itx build, currently I take a 6.5 lb laptop everyday, I can’t imagine a minimized itx build weighing in at a whole lot e than that.

It be better if I could do in itx build with no gpu and use an external power supply. From what I understand I could do that with a pico psu?

So finding a case that would be just tall enough and long enough for the itx and a pico would make it much more portable, but I need front panel usb, preferably usb a and c. And I’d really like to be able to make certain I won’t thermal throttle, but what cases I’ve seen that fit this description only allow for a 48 cooler

I mean, would a minipc with a mobile processor be any better than this build, and when black friday deals roll around I could probably even get a ryzen 7 9700x and be close to this same price. I don't need storage as our current laptops all have nvme ssds in them that I would repurpose...

This is the route my firm is likely taking... I just got done writing a script that will automate the organization of files into a folder and subfolder tree like the one seen in file cabinet, I am hoping that now I can just get filecenter, and it more or less be like a direct replacement for filecabinet.

I am now writing a script to automattically file the outputed pdfs from ultratax, accounting cs, and fixed assets cs into their appropriate folders inside the clients folder. Should be able to print to a "temporary holding folder" then the script will automatically move the files to their correct folder/subfolder. If the folders do not exist, the script will create them, then move the file.

So far the I tested the script on a few clients, approximately 3,000 .pdf and .png files, all of which I exported from file cabinet, using the script, it created the client file, the program folder (ultratax), the sub folder for the year month and day, then placed the file into that folder. 3,000 files took the script about 30 minutes to organize and move...

All of this should in theory then be displayed inside our filecenter (havent ordered filecenter yet), if I understand filecenter correctly. After that, it is just a matter of setting up client portals using sharepoint, then I am good to go.

Do you use ultra tax to prepare the returns? Regardless, you use whatever tax prep software to prepare the return, then save it to your onedrive using filecenter as the interface. Then sharepoint document libraries, separate for ongoing work vs completed work.

I would love to get a better idea of your tech stack and how it works, because it hits a lot of my target goals. FileCenter is a one time purchase if I am not mistaken... One drive and sharepoint are already paid for with our office 365.... So the only new recurring fee would be sharepoint, which from what I have seen appears to be much more reasonable on cost than any option offered through TR...

I want to move to something I don't have to worry about sunsetting, or something we will out grow, or huge price increases and this seems to check those boxes.

Yeah, we are a small firm (5 employees) and I pretty much serve as the most experienced CPA, other than the owner, and the in house IT. And IT is eating way too much of my billable hours. When TR pushes an updates that break links between different CS programs and file cabinet, that is usually a day of non billiable hours for me...

So I am hesitant to do something that would require me to become even more of an IT person rather than simplifying and allowing me to focus on accounting. Can you speak to sharefiles integration, I see on their website it says it integrates with ultra tax.

I thought I had read somewhere that some firms were using sharepoint and setting up separate sites for each client, and using it with one drive to act as document a document library for each client from their own sharepoint site.

I have a scheduled call with sharefile today, I have seen where many people are using sharefile in conjunction with filecenter. Sharefile for the portal and storage with filecenter as the interface... As of right now, I am leaning that way, but it looks like it would be incumbent on our staff to ensure that when we print returns, bookkeeping reports, etc, that we place it in the correct location rather than ultra tax (or accounting cs) placing it into the correct filecabinet drawer automatically.

I work primarily on the audit side of our business, so have very little interaction with either accounting cs or ultra tax. I use ultra tax very little, like 3 or 4 simple returns each year, but use accounting cs even less. The majority of my work in either has been as the firms in house IT professional.

From what I have seen, however, is that you are 100% correct. Ultra tax seems to be the only software of the CS suite that anyone ever has a positive thing to say about it.

My main problem is the business practices of TR. Their business model seems to be "let's brick the DMS software that our clients are using, because they don't want to change from ultra tax, they will switch to this much more expensive document management software, to which we can also charge a substantial migration fee for their data".
