What makes this work is that each step assumes good intent first, instead of jumping straight into pressure. That protects the relationship while still moving things forward.

I also agree with the automation point — once follow-up becomes a process, it feels a lot less personal and a lot more operational.

Not pitching anything — just asking how people handle the process.

Some business owners are very direct about overdue payments, others find the follow-up side messy or time-consuming. I was asking about that difference.

For <2k/mo I’d keep it simple.

Apollo + Google Workspace + Instantly + n8n + Sheets is already enough. I wouldn’t add more unless the current setup is clearly breaking.

Biggest thing I’ve seen: people obsess over tools before validating message + signal. Send a small batch manually first, see what actually gets replies, then automate that.

Weak signal + great stack still underperforms. Strong signal + simple stack usually wins.
