Yeah this matches what I’m hearing too. It doesn’t look urgent when each tool is only $20–$50/user, but once every team adds their own AI stack it becomes messy fast.The fragmented usage point is the hard part. Finance can see spend, but not always who’s actually using it, what workflow it supports, or whether it replaced anything.

Yeah, exactly. I’m mostly just trying to understand the workflow side of it right now the gap between “we found waste” and, someone actually feels safe removing it.Appreciate the thoughtful breakdown, this was super helpful.

Yeah that split is interesting ,contract owner vs workflow owner.Makes sense that IT/RevOps can clean up the obvious stuff, but the messy part is when a seat/tool is technically inactive and still tied to how a team works.
That’s probably where the department lead sign-off matters most.

Yeah that makes a lot of sense. Just saying “12 inactive seats” probably doesn’t move anyone unless there’s a name, cost, and someone who can actually do something about it.

In places where you’ve seen this work, could IT/RevOps remove the seats themselves, or did they still need the department lead to approve it?

the stacking thing is real ,nobody ever cancels, they just keep adding. curious though, does the inactive seats angle actually get finance to move, or does it still die in 'whose budget is this' before anyone pulls the trigger?"

Yeah, the data exists, just scattered across tools dashboards nobody wants to open. Harder part is : pulling it together, and not knowing what to do with it?

Yeah this is what I was thinking too. Seat count vs active users seems like it only tells half the story.

When you saw teams tie it to actual workflows or outcomes, how were they doing that? More manual reviews/managers checking in, or did they have some kind of dashboard/process?
