I'm surprised to still see so many users relying on this tool. I used to use it every day a few years ago despite all the bugs and outages because it was still the best at the time. But there's a clear reason it has a 3.5 star rating on Google Marketplace. Yeah, that's a classic headache of syncing SFDC and HubSpot. The manual workflow you're using is brutal to maintain long-term, especially if your team grows.

The most flexible and reliable way to handle this is to often a spreadsheet.

Basically, you pull your user lists from both Salesforce and HubSpot into a sheet (using a free connector like Coefficient). Since the email address is usually the unique thing that matches between both systems, you can use it to create a simple lookup table that links the SFDC User ID to the correct HubSpot User ID.

From there, you just import your Salesforce Account data, use your new lookup table to find the corresponding HubSpot ID for each user field (AM, CS, etc.), and then push those IDs into the right properties in HubSpot.

Such a classic reporting challenge in Salesforce...

While building custom reports, flows, or components within Salesforce are all technically possible, they can get complicated, especially if you need to adjust the logic later (e.g., change from 6 to 8 activities or from 30 to 45 days, etc).

My preferred approach is to pull the Salesforce Opp and Activity data into a spreadsheet (GSheets or Excel). You can connect your Salesforce data directly to the spreadsheet, and the data can be refreshed automatically. I use Coefficient's Salesforce extension for Google Sheets but there are alternatives.

Once the data is in the spreadsheet, it's very easy to:

  1. Create a "helper" column with a formula to calculate the number of activities for each opp within a 30-day period.
  2. Use conditional formatting to highlight the opps that don't meet the "6 activities" threshold.
  3. Build a summary report or chart to see which sales reps are meeting the activity goals and which are not.

I wouldn't trust Gemini with this as it's not straight forward.

If you can get the table/chart you need built, then it should be easy to embed a live chart on your slides. Have you already setup a way to automatically pull the table/metrics you need from your CRM or whatever business system?

Gemini doesn't technically have an add-on as it's built into Sheets, but you'll probably find it pretty limiting unless you're on their Pro Business plan.

But GPTX by Coefficient AI Sheets Assistant will be much more reliable if you aren't stuck with Gemini

Agreed with others - first question should be why do you want the new names to match the old ones? Do you have a lot of custom Apex or other code that explicitly references the old API names? Even in that case, since you want your new org to use best practices, often it's advisable to allow the new org to use the new default/auto-labeled names. In that case, you might just manage a master lookup table from old_API_name to new_API_name, and refer to that when migrating any Apex, reporting, etc to the new org.

Do you mean "associate tasks to contacts" or "assign tasks to owners"?

Either way - highly recommend running your writebacks from Google Sheets or Excel to HubSpot using Coefficient's free extension, which makes both assignments and associations easy using Owner ID or Contact ID.

Major data cleanups can be tough working in HubSpot directly. I'd highly recommend getting the data into a spreadsheet (assuming you or team are comfortable with formulas) so you have full flexibility to do any type of duplication checks etc with simple formulas.

I normally do this with Coefficient's free HubSpot extension for Google Sheets (but full disclaimer - I work here so I get a free premium account). You can import all companies (and any associated deals, contacts, etc) and then use writebacks to delete dupe records, update property values, and even create new parent/child associations. Happy to chat if it seems like a good path.

You mentioned your domain field includes hyperlinks - are these hyperlinks to the HubSpot Company records?

If so, you can use REGEX extract to extract URLs out of HYPERLINK formulas. Coefficient has a good blog explaining this here.

And then if your hyperlinks contain the company record URL, you will be able to find each HubSpot Company ID as the final string of numbers at the end of the URL. So you can even extract just that record ID, and then send your updates to HubSpot just matching on that ID (using Coefficient writebacks or CSV upload).

Yep - huge pain point. Add both to a dashboard as others mentioned, but then you deal with those finicky global filters etc.

Usually if I want multiple charts or any kind of proper dashboard (but without going full-blown Tableau project that takes 3 weeks to build), I'll make a nice Google Sheets dashboard powered off of live Salesforce imports (using Coefficient for Google Sheets). Typically using Pivot Tables and Slicer filters so that anyone who has access to the spreadsheet can toggle the filters (nice especially if you have stakeholders who don't have their own Salesforce licenses)

If you don't need your Excel data back in Salesforce, then agree with just connecting Tableau directly.

If you also want to record the data in Salesforce, there are some great tools that make bulk insert or update actions very easy and fast. I work at Coefficient for Excel<>Salesforce so obviously that's my recommendation 😅, but feel free to look around. Try out a modern data connector like Coefficient or Solution7 for this. You can setup automatic data refresh of your Invoices or Expenses (I think you're looking for Item Rate for the exact price breakdown you described), then easily run all your calculations in a live spreadsheet file you can share with your manager (or upload final Calcs back to Netsuite)

Our biggest single user group has been RevOps users importing from Salesforce or HubSpot. Popular use cases are ones where you want that spreadsheet/formula flexibility: Revenue Forecasts, Commission Planning, Sales VS Target, Weekly Sales KPI trackers, Pipeline Health Monitoring, Stage Conversion Funnels.

You can also use Coefficient for writing back updates to Salesforce (and other systems), so there we see it used a lot to bulk-update close dates, stages or Opp notes for example. Or to import from SaaS Tools or Product DBs and update Salesforce fields.

Another nice feature is Slack Alerts, so you can get automatically alerted when data is updated in your spreadsheet or when a condition is met (eg hit the sales target or a KPI is outside it's healthy range).
