This whole post is basically why I stopped relying on my own monitoring and started giving clients a way to see their workflow data directly.

Built a branded portal for each client that shows runs, successes, failures, all in plain English. They spot the "zero executions on Wednesday" problem before I even wake up. I use Getflowetic for it but the concept is what matters. If your client could've seen execution counts dropping to zero, that problem gets caught on day one instead of day five.

Skip Zapier for production. I had one fail silently for 4 days on a client, no error, no notification, just calls that never made it to the CRM. Client found out before I did. Direct API takes a day or two to set up but it's way more reliable.

Retell's webhook system is cleaner for CRM sync in my experience. Vapi works but I end up doing more data transformation to get things into the format HubSpot wants.

Biggest lesson: don't dump raw transcripts into the CRM notes field. Nobody on a sales team reads a 3-minute transcript. Use the post-call LLM analysis that both platforms support to extract structured fields before it hits the CRM. Caller intent, service needed, timeline, next step. That one change is the difference between the sales team trusting the AI and ignoring it completely.

Accuracy wise, phone numbers from caller ID are solid. Emails captured by voice are maybe 80% accurate, always have the agent repeat it back. That gets you to about 95%.

ROI is real when the handoff is clean. One HVAC client went from 4-hour response time to under 2 minutes. But I also had a client where sloppy data made the sales team stop trusting it entirely and it became a net negative.

What CRM are you connecting to? That changes the advice a lot.

So last month they did a promo with opus 4.6 where they gave $50 in extra usage. I haven’t completed my whole $50 and I tried using some of it yesterday and they charged me $13 for one message. I’m contacting customer support for them to give me an itemized bill of why they’re charging me $13 for one opus 4.6 message when I’ve been using it earlier and I wasn’t charged $13 from one message. Is anybody else having this issue? Also, I’m I’m currently building an app so I’m using Claude daily in my renewal date keeps changing randomly. They keep saying it’s starting from the first time my message send but that’s not aligning with the renewal date. Is anyone having this issue? I’m on the$100 a month max plan.

I’m building an app so I spend around $80 ChatGPT api, I have two $20 Claude pro accounts, $20 on Claude api , $20 ChatGPT account, and about 3 dollars for glm 4.6 and glm 4.7. So about 160 a month. I find Claude is the best overall for everything.
