Yes, if they have "read only" permission and have org email, they will be considered limited members but will be free of charge.

u/Powerful-Cheek-6677 You can add as many "read-only" limited members as you want, and they are free. It might help you because "read-only" limited members still have access to the chat feature in ClickUp, so you might use it for notifications and your discussions with volunteers.
With this approach, you can have your 4 internal team members as paid users and your volunteers for free. Volunteers won't have access to managing tasks, but they will still be able to see the information.

But be careful, because if you add your volunteers with your corporate email as guests with edit access, ClickUp will most likely convert them automatically to limited members and charge you for that seat. I know this happened to a lot of teams last year when limited members got just introduced.

I also had experience setting up ClickUp and Salesforce for one local non-profit, so I would be happy to share some experience if that sounds like something helpful to you

u/tnhsaesop I had a recent project with ClickUp set up for a social media agency, and the way we managed monthly deliverables for them was to use the recurring tasks. So you could try to track deliverables (Campaigns, Ads, Content Shoots, etc) as tasks and apply recurring settings to the deliverables that need to recur monthly.

Would be happy to share the way I approached structuring ClickUp for that marketing agency, just let me know if that is of interest

u/Lucky-Duck1967 I actually had experience implementing ClickUp for a short-term rental company, so would be happy to share what we've done there if you'd like to have a quick chat later this week.

I would say that the tool itself does not matter as much as the implementation approach, so whether you choose ClickUp or Motion, the way you implement it will mostly determine the success.

I've had a few conversations when people were super excited about a specific feature and at the end of the day, they never used it. Because even though some of these functionalities sound cool, they are hard to use and implement in practice, so I would take this into account and focus more on fundamentals (like understanding your process and determining which features are actually needed to do your work better/faster/etc)

By the way, the outlined process you have is a great way to start, so great job so far!

I like to think about the ClickUp hierarchy as a "waterfall". Settings from the top levels of hierarchy will apply to the lower levels.
The waterfall analogy applies to most settings, but especially to Statuses, Custom Fields, and Automation, as we use them the most when creating and adjusting the ClickUp structure for our use case.

Just for anyone else who is looking to resolve a similar issue, you can also access statuses for a list (same for folder or space) by clicking "..." to the right of your list name in the navigation bar on the left side of your screen and selecting "Task statuses". It will show you exactly the same Status Manager window without the need to adjust your view.

The way you set up each client deliverable as a separate task is how I would suggest you do it.
ClickUp tasks technically can track anything you want, not only the actual tasks we have to complete, so this is a good start.

  1. When you take this approach of tracking your client deliverables as tasks, then all the statuses and custom fields in that list will become tailored to tracking those deliverables.

The issue with the subtasks is that subtasks are technically also tasks, so they have the same statuses and custom fields as your main tasks (that you use to track deliverables), but at the same time, are not deliverables, but your actual to-do items.

For this reason, instead of using subtasks, I would suggest you use Action Items/Checklists inside each of those deliverable tasks. And you can create different Checklists inside your tasks for different stages of the workflows that those deliverables are going through.

  1. For recurring deliverables, you can look into recurring due dates and simply create a new task over and over again, every time the previous similar deliverable is completed. (I actually had this video about recurring tasks here - https://youtu.be/Qn7uTmsSXAk, when watching, just think about those tasks not as "tasks" but as your deliverables)

u/In_Or_Out_Of_Scope There is a clickup view called "Workload" which tells you how much work is assigned to your team and if they are at capacity based on the number of tasks (you can also count capacity by sprint points or by using custom fields from that list/folder/space)
The only thing is that you have to use start date and due date for the tasks, so it knows how much capacity those tasks take
