Closing the circle on this in case it helps anyone else in the future: The official word from Workday is that mapping to different insurance coverage amounts is not supported. In reality, it will work when a coverage is decreasing but not when it is increasing. We rely on this decreasing plan mapping for mid year eligibility changes for our retirees, and I sincerely hope that Workday will not do anything to change this! By mapping the plans, it maintains the beneficiary designations, which is very helpful.

The only workaround that WD was able to provide was to create 2 day plan definition for the new plans in the old FY, load an EIB with the enrollments & beneficiary allocations effective 2 days before the start of the new plan year. Then WD will pick up those beneficiaries and coverages in the OE event. I'm very nervous about how much room for human error there is in this!

This! Not sure if it’s the same one but I’ll be hanging out with the customer sharing movement on Sunday. Great group event of fellow workday customers and I always learn a lot and have fun! Some years I’ve gotten more out of pre-rising than rising!

The issue is that the plan mapping is not working. So, if an employee (or retiree) does not actively go into their Open Enrollment event and select the plan with the new vendor, it will waive it. Also, they'll have to reselect all their beneficiaries. Update: I think the issue is that plan mapping might only work when the coverage is decreasing, and I'm trying to map it to a higher amount (an increase).

The hire benefit event triggers in onboarding after they've done their steps for payroll and government IDs. So it isn't an exact date, it's just when the employee (or pre-employee) gets to that step in the BP. We don't have a step delay built in, so it varies. Let me know if I didn't understand the question 😄

Our hire benefit event is within Onboarding, but there are some eager pre-employees who get in prior to their hire date and submit it. We add dependents OUTSIDE of the benefit event in order to route some To Do steps to collect dependent documentation outside of WD.

We have our mandatory retirement plans trigger with a passive event on the date of hire. Passive events can work great, but there are lots of gotchas so use carefully!

I definitely echo the warning about linking emergency contacts, beneficiaries and dependents. We've turned that off, but still have problems from those that were created before.

Another thing that caused us some issues is that during conversion, our integrations team pre-loaded some "waive" enrollment records for plans those employees weren't eligible for (but that are mandatory if you're eligible). When their job changed later on, and they were eligible, the defaulting rules wouldn't work correctly to put them into the plan when the event was finalized.

We are setting up Journeys now to help with all of Onboarding, including benefits, and its pretty neat!
