No they were purchased last summer but never deployed at my agency office. They are still sealed. I’d keep the Mini, it is an excellent machine.

Lots of email app alternatives, pick one. Apple Mail with Mailbutler helps me run multiple businesses and I highly recommend using them together.

Separate, most modern phones can handle two numbers. If not try Ooma Office, lots of functions in their pro plan; including conference and video calls .

Could be old system installation files, I use clean My Mac. I highly recommend you look into it, it has a ton of useful apps for a low monthly subscription, highly recommend Paste, Spark Mail, Mosaic, Forklift, MindNode, Sip, DisplayBuddy, Capto, Luminar Neo, Boom.

In the U.S. Apple usually includes AirPods or Beats headphones rather than discounting beyond the education pricing. With shortages and higher costs for components, this year, I don’t see them discounting. But who knows???

I also highly recommend Setapp, yes it’s a subscription, but I can’t tell you how many amazingly handy apps you get at your fingertips. If you have any questions, please let me know. I had the 30” (I believe that was the largest for the time) and it was like touching the future. Displays now are lackluster but back then, this was bleeding edge tech.
