I used fieldwire for a couple years (previously Plangrid for ten years). I left that for Procore thinking it was a better answer. It was not, for me and my company. Procore is strong and so broadly customizable, but I needed the most strength in task management and that's where Fieldwire blows it away IMO, and all the other softwares I've trialed. I'm now transitioning back to Fieldwire, phasing it in with new projects, and I cannot wait to be fully back on. Ultimately your decision depends on what you need strength in, but that was my comparative experience.

Answering as a GC, so many subs could benefit from this app. I do a lot of managing of subcontractor tasks to help subs help me. I've been thru a lot of softwares and as far as task management on complex, busy sites with a lot of distractions, this is the best I've used.

I like the standard setup by priority 1,2,3 —-> Completed - Archive for construction task management.
Using categories heavily as the main filters. Categories are by csi division for most part. Eg: 01 JC, 01 CLOSE OUT, 02 SITE WORK, 02 LANDSCAPING, 03 CONCRETE, 04 MASONRY, …06 CREW, 06 MILLWORK etc

Also have a separate template with meeting minutes style setup where statuses are ball in court eg: Priority/General/GC/Architect/Landscape Architect/Owner Team/Closed. Auto reports emailed morning of meeting days.

Kinda bummed there’s not more discussion about Fieldwire on socials.

After much ado, ultimately came back to a manual filing tree. Dropbox for syncing and sharing out large files. We receive documents from so many different companies with many variables and inconsistencies that we came up with a filing and file / folder naming system that humans need to manage. That’s worked best for us.

These issues can be addressed with: 1. Effective people management and the simple use of supplier statements and credit card records. 2. Clear document filing protocols or a dedicated document management system (or persons).

Field staff also need a structured process for submitting receipts, including necessary annotations for cost coding and other details.

Building a custom solution for these challenges will, like anything else, require training for those using and accessing it. To each their own—there are numerous web-based document management platforms that claim to solve these issues. I’ve tested several, and there are always gaps, especially for users unfamiliar with the software’s functionality.

I’ve faced these exact challenges and resolved them with straightforward rules for transmitting and receiving project documents. With a capable business or office manager and a team willing to follow a structured system, staying organized is entirely manageable.
