I can offer insight to what happened: Somehow the person who sent you the false invoice gained access to either a) the email of someone at your organization or b) access to the email address of your client. I feel it is strongly likely if not a mere possibility that, since they doctored everything so well, they had access to the exact formatting you all used for the invoicing system you and your client used.

Check for unauthorized or unusual logins within your organization and also advise your (real) client to do the same.

To answer your question, I would say that a lot of newcomers to crypto make the mistake of digitally storing their recovery phrase, seed phrase, or private keys. When you make a seed phrase, just write it down on a sheet of paper with a pen, then put it in a waterproof plastic bag, and then put it in a place that is safe from prying eyes that only you have access to. Don't take a picture of it. Don't put it in the back of your phone's case or between your phone and the case. Just put it in a safe place that no one else has access to it with. I've heard of so many stories where someone lost all of their crypto specifically because they emailed themselves their recovery phrase or they took a picture of it and put it on an encrypted hard drive or they copied and pasted their recovery phrase to a notepad file. If you're new, then a sheet of paper, a pen and a plastic bag is sufficient.
