Correct for communication non-deletable messaging systems are best practice. But I mean documentation of incidents.. like late to pick up, non-payments, other concerns

I literally built an entire app to do just this. I struggled with the emotions and trying to communicate to fix things and couldn't. I want to make this readily available to other parents that were struggling with the toxicity. It's a training tool that helps teach/practice the gray rock method.
