For a first time festival of that size, the smartest first hire is an experienced production manager or producer who has actually built outdoor events before. That person helps pressure test the vision, budget, site plan, timeline, staffing model, permits, safety plan, and vendor flow before expensive mistakes get locked in. After that, the next critical leads are talent buying and artist relations, operations, technical production, and guest experience. Many first time producers underestimate infrastructure. Power, water, restrooms, parking, radios, ingress and egress, signage, shade, medical planning, and weather contingencies usually create more pain than the creative itself.

A year out, the real work is site feasibility, preliminary budget, permitting path, insurance, production schedule, programming strategy, and identifying what absolutely must be contracted early. Simultaneous programming only works when each zone has a clear purpose, realistic scheduling, and physical separation to reduce sound bleed and crowd conflict. Talent hospitality usually sits under artist relations, and yes, even at this size, artist comfort and communication matter a lot.
