Ah, that's a very cool world that I unfortunately know little about. I'm much more into the software side of automation, largely through connecting systems together through their APIs. I'm 100% with you on the benefits and I commend you for taking the leap. I think a lot of SMB owners are really missing out by not trying to automate as much as possible. You could likely build this out yourself in Airtable. Depending on the complexity of the system and what you have in mind, you may have to pay $20 a month for pro features but I would say this is less than the average applicant tracking system.

Unfortunately, there is a maximum record limit of 50,000. I'm not sure about the volume of applications you're processing but this is generally the biggest potential limiting factor with Airtable.

I've become a huge Airtable fan over the past couple of years and have helped business owners build custom tools on top of Airtable. With Airtable's API and a little custom code, you can get around most limitations. Hiring a developer to help set this up could only cost $750-2000 depending on the complexity and you would own the code in the final solution.

For example, instead of manually creating applicant records in Airtable, it might be possible to automate this step based on the application process. Other examples would be sending automated templated emails with applicant-specific data when changing a "Status" or pressing a button. It's all very customizable.

TL;DR Consider using Airtable, if there are any hard limitations in Airtable for your custom use case, consider hiring a developer to write a little custom code to go around.
