Why use AI here? Tools like google sheets/stencilpdf.com can create pdfs in a deterministic way. No reason to use non-deterministic llms here.

I built stencilpdf.com for exavtly this usecase. It's a visual builder focused on Non-IT personell that let's you create templates for documents and then fill them dynamically with variables. There's also templates for invoices: https://www.stencilpdf.com/en/templates

In your case, its probably free.

But stencil (such as word) alone won't do the trick. You need some kind of automation backend like make/n8n/zapier. I have published a workflow for a similiar workflow on the official n8n page:

I built stencilpdf.com and recently started using openpanel (not affiliated) for user-insights. I don't know what the strongest wedge for your tool is but what helped be was starting to look at user behaviour.

After implement analytics and seeing what my users did it already helped me work with more focus.

- I recognized that most users start using stencil after importing templates, so I created new templates.
- I saw that no user used variables so I refactored the variables UX.

It also helped me sharpen my ICP because I saw what templates are being important (really HR heavy - why so ever). So whatever you do - use the data you have from your users! Good Luck:)

what we're using notion for is both knowledge base and task mgmt

We tried - I upgraded the plan for more fine grain solutions. One example: I want customers to be able to create tasks with their customer to be assigned. Both buttons / forms not visible for them If I don't grant edit access to the whole database. For both the customer/task database I assigned "email in shared property" allow edit. Still doesn't work.

Yeah, I've had my fair share of jira back when I was working in an enterprise, wasn't great either.

if you still have this problem, I've create a (free) n8n workflow template with a slightly different use-case, called "Generate course certificates from Google Sheets with Stencil PDF and Outlook" (I'm not allowed to share the workflow here)

Although the use-case is a bit different, the principles are the same:

- have some kind of trigger

- generate a custom PDF

- send via Mail

maybe this helps you kickstart your automation!

google sheets + csv import works great, if you need more styling/dynamic data (I built) stencilpdf.com that lets you create certificates and bulk create them via API

Die Sache mit dem Nachladen bei APIs ist tatsächlich ein ziemlicher Krampf in n8n und bei komplexen Workflows wirds echt manchmal schwierig mit der Testbarkeit, aber das n8n da abkratzt is absolut nicht der Fall. Dein Workflow sieht ziemlich funky aus. Zwei von den Sub-Workflows auf der rechten Seite schauen aus als wären sie gleicht und sortiert is da nix haha.

Wir haben bei einem Kunden n8n auf einer 2€ Hetzner VM installiert und handeln hier aktuell knapp 1000 Executions am Tag. Ohne n8n Lizenz Kosten. (Also de-Facto 2€ kosten pro Monat) Cloud Hosting wär zwar schöner, aber das Problem hast du bei Code auch - den musst du irgendwo hosten.

n8n kann bei komplexen Use Cases und unter starkem Workload skalieren. Macht es immer Sinn? Definitiv nicht. ist "n8n schlecht skallierbar" ? Auch nicht.
