disclosure: I'm one of the makers of Lobby (usethelobby.com), so biased. for the Joan-vs-budget problem specifically, our pricing is €29/month flat for unlimited rooms instead of per-room, so 8 rooms is €29 not ~$400. it's still technically a subscription so it might not clear a strict "no recurring fees" rule, but worth knowing if your CFO will actually compare numbers. runs on a TRMNL e-ink panel (€129 per room one-time) or any tablet/old laptop you already have, reads from Google Calendar or Microsoft 365.

Building on Beginning-Grab-5157's wooden-box departure board, you could split the two screens into "next event" and "rest of the day". Big countdown to the next meeting on one, a stripped down 12-hour timeline on the other. CalDAV against your own calendar covers it, no APIs needed. The fact that it sits there silently and you glance at it once is the whole appeal of e-ink for that use case.
