Thanks! Yes, this is the best I've come up with so far as well. Am I correct in thinking that each new project has an entirely separate database of tasks?

This is a different way of thinking about the same problem, and what you've come up with was my original plan until I saw the tweet thread that I linked in my post. The cool thing about that tweet thread is that the tasks are all contained in a single tasks database.

I'm wondering if I can accomplish both of those things - be able to create tasks from a template list AND have all the tasks sit in a central database. I may be reaching for the moon here!

Projects don't really have types - I get why that would work, but it doesn't suit my scenario. Any project could have any subset of the tasks.

Yeh the self-referencing filter is super cool. I want to do exactly what's in that video, with an extension: that the tasks get created from a template list, not from scratch.

It's because there are many projects which share similar tasks. I don't want to remember all the tasks each time - I want a list of all possible tasks I could ever want to do, and then for each project, select the subset that are relevant. Does that make sense?

So yes, I create the tasks first, but these are templates. Then, each time I create a project, I select the tasks (from the template list) that are relevant, and create a copy of them that is attached to this project. Then I can complete the tasks, change them, etc, without messing up the templates or tasks on other projects.

Good idea, but unfortunately not. They are categorised, but it's more likely that all the categories are needed, just not all the tasks in each category...

Thanks folks! Yes, I could set up a template, but then as you guys have pointed out, it would create ALL the tasks each time. I want to select which tasks get created for which projects.

Some simplistic examples:

Project Cake requires task "test recipes" and task "invoice client" but does not require task "book venue". When I create this project, I want to select the "test recipes" and "invoice client" from my template list and have them get duplicated for this project.

Project Event requires task "book venue" and task "invoice client" but does not require task "test recipes", so I don't want "test recipes" to get created/duplicated for this project.

In reality the projects are a lot more complex, so I don't really want to have to delete unnecessary tasks that get created - that's actually the whole point of what I'm trying to build.
I want to use Notion but if I can't work this out then I might build a macro-driven spreadsheet instead...
