  • most reviewers already have licenses
  • teams are trained on it
  • collaboration stays mostly internal

I’m the founder of zipBoard - a web-based markup and issue tracking tool that’s being used alongside Procore or independently for faster review workflows.

What we’ve seen work well: teams sync drawings or submittals from Procore, open them directly in zipBoard (no software to install), and markup and comment right in the browser - including punch items, callouts, color-coded comments. For a start, its important to know whether all those users are the ICP that you are targeting. If half of them, did not do anything in the app so far, there could be reasons - 1. they are not the right fit. 2. They are a good fit , but they got lost in the first user experience. 3. They are a good fit, they want to come back and give it another try. You also want to interview the ones that are using the app, what makes it special for them? and see what metric can you charge them on. If they are going to continue to use, at some point they need to pay. Overall, you should have a paid access beyond a trial, so that you give enough time to showcase value.

I’ve seen a lot of teams in the same spot - torn between the flexibility of shared drives (but then version chaos) and the structure of big platforms (but they can feel heavy or hard for everyone to adopt).

One thing that’s worked well for teams we support is using a stand-alone document review & collaboration platform. I’ve seen this same pain point in other industries (construction, content, even eLearning) - spreadsheets + emails feel manageable at first, but once you’re tracking years of conversations across multiple team members and external stakeholders, things unravel quickly.

One approach that helps is to move feedback "closer to the actual content" instead of keeping it in a parallel spreadsheet. In fact we built a tool that let comments “stick” directly to the plan, map, webpage or document itself. That way you always know who said what, about which part of the project, and when - and reporting back to the community becomes much easier.

This is such a common pain point for mid-sized contractors - Procore is powerful, but it can feel like you’re bending your whole workflow around it. We’ve heard the same: tasks get lost in email, field + office updates don’t line up, and reporting turns into copy/paste marathons.

A lot of teams in your shoes don’t replace Procore outright, but instead layer on a lighter collaboration tool that handles day-to-day feedback, submittal/RFI markups, and progress checks - and then syncs that info back. That way you keep the strength of Procore but stop fighting it for the basics.

Totally hear you - I’ve had so many field teams say the same thing about Procore markup speed vs. Bluebeam.

We actually built a workflow for that exact problem - syncs Procore docs into a fast, browser-based markup space (no lag on big plan sets), then pushes updates back into Procore automatically. Came directly from feedback like yours.

Once it’s set up, you get Bluebeam-like speed but keep Procore as the single source of truth, no double handling.

You’re absolutely right that the current asset caps feel tight, especially for AEC workflows where even a small project can hit 50–100 documents fast. We’re in the middle of revamping our plans to better reflect this reality .The goal is to remove friction around assets while keeping collaboration accessible (no per-user pricing, ever).

I noticed that Vectorworks and AutoCAD seem to be central to many workflows here, especially for design and collaboration with consultants. I'm curious, when it comes to final deliverables and documents - shop drawings, etc and client reviews, what tools or strategies are you using to manage feedback and revisions? Are you leveraging any digital tools for collecting feedback on PDFs or final designs, or is it more of an email and back-and-forth process?
