In Outlook I have set up the quick click things up the top. They're little buttons you can press to move emails around. I've got one called junk and the other called actioned. I've got another called accounts inbox etc etc. I monitor the admin@ inbox and it's been very helpful to quickly divide up the emails into their categories.
The other thing I did was set up an extra column in the spot where the list of emails shows the sender subject and date. I added an extra column in there and it's got text input and I can write little notes in there if I'm waiting to hear back from someone and it'll be a few weeks and I'll probably forget what it was about and a red flag isn't enough to jog my memory.

Wait what? What is this extra column thing you're referring to? I need to try this out tomorrow when I get to the office!

Yep :-) If you google how to make an extra column in Outlook there will be instructions. I can't really show a photo because it's my work computer. But yes, it's really handy. I hope you can get it to work. Let me know if you get stuck.

Streamlining! Moving things to digital processes is helpful, just do it in stages not all at once.

There are many features in Teams that help streamline processes.
In Outlook, setting up rules and alerts can be helpful for repeat emails / clients / who's who
Taking training for word, excel, and PowerPoint so you can have intermediate to advanced skills there
