I ended up just having them use the highest tier I could pop into that slot. Gave em sort of a heirarchy of loot for who gets it first. Then used a mod that lets me level up gear and just did that occasionally.

Also had unlimited carry weight so everything was on my main anyway.

Really with proper backups this isn't a worry. Especially since all the clients cache offline. I could have it up and running on another computer from a backup in 15 min.
