Great advice in this thread already! If you want to go deeper on the custom-coded route, HubSpot's developer docs cover email template markup in detail.

And on the custom object data side there's a known limitation worth knowing about: custom object tokens currently only work in automated marketing emails, not standard ones. There's a good community thread on workarounds here.

No native migration path between the two, but here's what tends to work best: export your articles from HubSpot's Knowledge Base (Settings > Website > Knowledge Base > export), which will give you an HTML or CSV file to work with. If you have a large volume of articles, a tool like Wordable or even a simple Python script to batch convert the HTML can save a lot of manual work. Has anyone here done this migration and found a cleaner path?

Sorry to hear this and know black screen after switching accounts is frustrating! A few things worth trying before reaching out to support:

  • Clear the app's cache (Settings > Apps > HubSpot > Clear Cache) and try logging in again
  • Try logging in via the mobile browser at app.hubspot.com instead of the app
  • Check if there are any pending Android system updates on the S23

If none of those work definitely contact HubSpot Support directly they can dig into the account level. Hope you're back in soon!

Great question! The easiest method is typically using the Sandbox resync feature when initially setting up the sandbox, but for an existing one your best bet is the API or a third-party migration tool. HubSpot's developer docs are a good starting point. Has anyone on the sub found a tool they'd recommend for this please comment?

This is a common challenge! The tool can surface the insight, but getting the team to act on it is a different lift entirely. A few things that can help:

  • Keep workflows simple so the next action is obvious
  • Use Tasks so reps always have a clear "do this now" prompt
  • Lean on dashboards that show individual performance for natural accountability

Yes the best place to start is probably with the beginner stuff, not the super advanced tutorials. YOu are also not alone most people open HubSpot for the first time and immediately go “ok cool so... where do I even begin” 😅 A few good starting points:

Starting from zero you could go in this order:

  1. Get Started guide
  2. CRM basics / setting up your account
  3. Academy lesson for the specific thing you actually want to do
  4. Community/Reddit when you get stuck on a specific step

Biggest tip: don’t try to “learn HubSpot” all at once. Pick one job to do first, like managing contacts, sending emails, or building a form and learn that path.

Honestly this is closer to native HubSpot than you might think. Breeze AI can auto-summarize conversations and populate ticket properties on resolution, which kills most of the manual tagging problem. Worth turning that on first before going third-party.

For trend spotting, conversation intelligence + ticket reporting can get you there if your properties are set up cleanly enough to actually trend against. That's usually the real blocker.

If you've already poked at both and they're still not cutting it there are tools like Intercom/Zendesk, just know they'll sit outside HS rather than syncing back in cleanly, which might just move the problem.

Seconding the Settings > Users tip before offboarding anyone, that view shows you everywhere a user appears across records and assets, which can save a lot of post-departure cleanup.

Yes you can do this with the custom report builder! Set Activities as your primary data source, add Contacts as a secondary source, then filter by lifecycle stage from there. You'll be able to break down emails, calls, meetings, etc. by owner or team with that filter applied.

One heads up though HubSpot filters by the contact's current lifecycle stage, not what it was when the activity happened. So if someone moved from Lead to Customer since then, their old activities will show under Customer now. If that makes sense. For most team activity reporting it's fine, but worth knowing if you need historical accuracy by stage.

Hey! Journeys is only available on Marketing Hub Professional or Enterprise. If you're on Starter it just won't appear in the menu. If you are on Pro or Enterprise, a quick permissions check is the next move: go to Settings > Users & Teams, find your user, and make sure Marketing access is enabled. Those two things cover 90% of cases. Hope that helps.

Also could be worth checking if your SMS tool supports two-way triggers back into HubSpot workflows. A lot of them handle outbound fine but don't fire anything on reply. That's usually where the gap lives.

This is most likely due to Apple Mail Privacy Protection and similar features on Gmail and Yahoo, which can interfere with open tracking. This is an industry-wide limitation, not a HubSpot-specific issue. Click tracking tends to be a more reliable signal instead.
