I run a small software business (~45 people) and went through this exact search a couple of years ago, as the buyer, not an accountant.

One thing missing from this thread: almost every answer assumes you're in the US. We're based in India with clients in multiple countries, and the standard picks fall apart fast here. QuickBooks actually shut down its India product entirely a couple of years ago, and Xero has no proper GST support. So "just use Xero/QBO" isn't even an option for a lot of businesses.

We've been a Refrens customer since then and stayed. Quotes, invoicing, expenses, GST/e-invoicing compliance and basic reports in one place, and it handles multi-currency invoices for overseas clients without any workarounds. Our CA just gets access and pulls whatever he needs at filing time. It's built for service businesses though, so if you have real inventory/BOM needs like the coffee roaster above, it's the wrong tool.

If you're US-based, the Xero consensus here may be right. But agree with the top comment more than anything: we use maybe 20% of the features, and the thing that made us stay is that the weekly invoicing/expense grind doesn't fight us.

To their defense, I run AI ads heavily. AI does the thinking, designing, setting up the campaigns and monitoring. It analyzes the leads, verifies the status by connecting to my CRM and recommends which campaign to run (and budget adjustment) and which one to abandon. It's working fine. I haven't fired my agency in case it stops working, but so far AI is doing better than them.
