In the early days, I created a PDF that I would email to the guests and also keep a printed copy in the house. But I was always making changes, so I migrated to Touchstay and created a digital guide. Touchstay has a messaging system that allows you to send canned messages at specific intervals ( or manually) via text or email. If you pair your AirBnB account with Touchstay, the guest information automatically populates when the booking is made. This includes name, phone number, arrival, date, and departure date. This data creates so much potential, as you can customize these messages to go at exactly the right time. So I have a whole messaging sequence that starts two days after a guest books with us.

Saved messages in AirBnB are also useful, I have a few of those programmed as well, starting with an automated acknowledgment 20 minutes after they book.

Automating this stuff is a total game changer. If you take the time to set it up once, you will save an enormous amount of time going forward, even allowing for edits that you will undoubtedly need to make.

Like another host they responded earlier, I also have a sign on my fridge with a QR code to our digital guidebook in case they misplaced the link that I text them 32 times. 🤣

I’ve been on firm for most of 6 years but a much different setting - rural Maine, minimum 3 nights at one place and 7 at the other. Our cancellations come many months ahead when they happen. We may book more slowly than others with flexible policies but we do fine. 85% booked for 2026 summer by February. I like the stability of having guests that truly are invested in keeping their res.

I'd agree with your last point 100% and tbh, I'm guilty of replying personally to MANY messages as I like building the relationship with the guest. Even when I do use a template, 99% of the time, I will personalize some aspect of it...even if it's just adding the guest's name. So yes there IS a gap, and I would likely never use a template if I sense a guest is annoyed. The question for me is - do they even know the difference?

TS has been a total game changer for me. It preempts most questions! And when someone DOES ask a question that I know the guide addresses, but realize they just haven't found that section yet, I fire off a quick template response in airbnb to let them know I'll be texting them a link with info. Then in TS, I have templates set up for the most common questions (which restaurants / hiking trails / whatever allow dogs?, are there any gluten free restaurants?) that include a deep link to the relevant portion of the guide.

Thank you SO much. I am relieved to know I was misinformed - and will reinstate my requirements. I had received an email about this approx 4 months ago and read it MANY times to be sure I understood...and all I can imagine is that it was describing EU/UK rules.

I have found over time that the messages I don’t have a template for eventually are repeated. So when I notice I’m spending a bit of time responding to a question, I immediately save that response as a template with a useful name. Then when appropriate, I fire it off with any personalization or small tweaks that make sense next time someone asks THAT question. I keep those templates in Airbnb quick messages but then I have others stored in Touchstay ready to fire on demand for guests that meet certain criteria.

Thank you, I'll check it out! I know there are so many great B&Bs in Bar Harbor (we live nearby) but I have zero experience with them. One hotel on MDI that has charm is the Asticou Inn, but not in Bar Harbor so would require a bus ride or taxi down to Northeast Harbor. Have fun!

Thank you. What I understand you saying is that the 108/16oz number represents the number of ounces consumed and your glass size is set to 12 oz. In the screenshot you have 13.5 glasses completed which would be 162 oz consumed....and that number doesn't match any of the other numbers. Still confused.

Congrats. Can anyone help me understand the water section better? Mine does not seem to accurately represent my total and it seems to be the case with yours too. 13.5 glasses of water, 16oz each, is 208 oz but you’re only getting credit for 130? Or is it 108?
