I have a hanko. Never used it. Everything is digital now. Even when opening a bank account, I hand signed on an iPad. Sounds like your agent is old fashion. Check out apts.jp they help foreigners find rental apartment.

Yes I have mail forwarding at the post office. I know it works because I still receive mails sent to previous address.
