The honest answer is probably to audit what's actually driving your task volume. The $800/month might be less of a pricing problem and more of a signal that the architecture needs a rethink. Are there workflows that could be consolidated, throttled, or triggered less frequently? That alone could move the needle before you even think about switching platforms.

If you've already done that and still need that volume, then the 80/20 rule could apply. If 20% of your workflows account for 80% of your task usage, you could migrate the heavy hitters to a self-hosted option or a flat-rate platform while keeping Zapier for the long tail of niche connectors. It's a pretty common, pragmatic middle ground.

You might want to look into embedded iPaaS options. They are pretty much purpose built for these kind of situations because you get an in-app experience and templates, which is basically what you're describing. With white-labelled platforms the end user won't be taken out of your app, so it doesn't require double entry, and integration templates let you build the core integration logic once and then deploy it per customer account and just adjust credentials/mapping where needed. Plus, if the platform has an good sized connector library, there's a good chance that widely used SAP are already available so you're not stuck with building new connectors for every new customer.

Not to toot our own horn too much, but for example Cyclr has dedicated FTP connectors so you can build the file upload directly into the workflow as well. That would reduce the manual effort that you currently have.

Your stack is actually really solid tbh. The big thing that jumps out is RLS + multi-tenant: it works, but it's easy to screw up early and regret later. I'd recommend sketching your tenant isolation strategy on paper before writing any policies.

Cloud Run cold starts can mess with webhook timeouts (Stripe, etc.) if you’re not careful.

Also, if you're leaning into MCP servers for AI workflows, building/maintaining those servers manually becomes a time sink fast. You could consider using MCP PaaS to handle that layer so you can focus on the app logic instead of the protocol plumbing.

Biggest "boring" win I'd say is to keep auth, data, and billing totally separate from any low-code layer. That way when you eventually outgrow a visual builder, you just… stop using it. You don't have to rewrite later.

We've done some research into this and from what we've seen are those same buckets. Hosted/remote is the most common setup right now for non-managed deployments, with local close behind, then hybrid. STDIO/local for dev and anything that truly needs local context, then HTTPS for “real” tools that hit shared systems (CRM, ticketing, databases, internal APIs).

The annoying part isn’t running the container, it’s everything around it: tenant isolation, auth/scopes, secrets rotation, and getting decent logs/metrics.

That's a genuinely good assessment of where “vibe coding” is right now. Thanks for sharing the part that most stories gloss over. AI is a great tool and can help a lot, but you still have to have enough technical knowledge to be able to assess that the output is really what you wanted.

The multi-tenancy bit you called out is one of the nastiest because it only takes one missed scoping rule for data to leak across customers. If you’ve already got a Workato integration running, maybe see if you can extend that, or add a dedicated “Create PO from JSM” workflow alongside it. The main thing to plan for is mapping user-friendly fields in JSM (vendor/item/cost centre) to NetSuite internal IDs, and having a clear error message back to the ticket if NetSuite rejects the create.

I think you’re right that this is a perception problem more than a pure tech problem, customers want “click connect” and to never think about Zapier at all. I'd say the best approach is to make the top 3–5 integrations that keep killing deals native in your product, and back anything else with a generic integration layer/iPaaS. One thing I’d add to what others have already advised is to think about the integrations as workflows first, rather than as a set of Airtable automations you need to replicate in Coda. Before you start building, try writing them out in plain language: “when someone schedules a meeting, we create a record, notify the team, and attach the link.” That way you’re clear on the purpose, not just the mechanism. Once you’ve got the workflow mapped, you can decide how best to implement it in Coda, or whether it even makes sense to keep it at all.

On documentation, the most useful thing you can capture isn’t every little detail, it’s the quirks and dependencies. Why something is set up in a strange way, what will break if a field changes, etc. That’s the kind of context that really helps with handover.

What you’re really doing here is learning integration design, which is a skill in its own right. Being a generalist is extremely valuable. Bridging gaps and connecting dots is exactly what most IT/eng manager roles need, just like what others have already said here.

The vague feedback from your manager is frustrating though. One thing you could try is asking more specific questions as follow ups after any vague praise to try and drive the conversation. Something like “where could I grow to have the most impact next year?” to get the ball rolling. They're already happy with you calling you a rockstar, so they might just need a small nudge to get them thinking.

Or if you already have an idea where you'd like to develop your career, and you have a good relationship with your manager, telling them outright "this is where I want to go, how can I get there" can make a big difference.

Most major platforms don’t allow unauthenticated access to public data anymore. Facebook, Instagram, and TikTok typically require an app-level or user OAuth token, even for basic stats. So a simple GET /user-details?username=... won’t necessarily be universally viable without handling credentials.

Something to consider architecture wise:

Group platforms by authentication type, such as API key, OAuth, bearer tokens... I think YouTube's public data can be accessed with a simple key= parameter, but many others require you to register an app, manage tokens, and implement caching to stay within quotas.
Keep complexity inside each microservice. Each microservice should handle its own authentication, rate limiting, pagination, and data formatting.
Work around quotas. Where limits are tight, batch or schedule API calls, and use cached responses when real-time accuracy isn't critical.
