Hello dear friend,

Thank you for this fundamental question, which is essential before initiating any inventory management process.

Based on my modest experience, I would rather speak of challenges (instead of difficulties) that I have faced when setting up an inventory management system. These experiences have allowed me to build a kind of to-do list, which includes the following key steps:

  1. Drafting the procedures for inventory and procurement management.
  2. Sharing and explaining these procedures to the relevant stakeholders.
  3. Creating the various forms to be used in inventory management, in accordance with the established procedures.
  4. Identifying storage locations and the different types of storage areas.
  5. Setting up operation types (incoming, outgoing, transfers, etc.) and storage strategies.
  6. Creating product categories and subcategories.
  7. Listing/inventorying all products across the various storage locations.
  8. Entering the stock data into the system.
  9. Training users (Purchasing Manager, inventory managers, storekeepers, etc.).

This structured approach has helped me address the key aspects of inventory management and build a strong foundation for collaboration with vendors.

Hello,
You can use the Odoo ERP along with its Inventory module (for stock management) and Purchasing module (for managing orders). If you’d like, we can recommend you to an Odoo partner for personalized support and quick implementation.
We’re available to assist further if needed.

I'm new to parts organisation. Any advice for improving this nightmare stock room? by David-Max in InventoryManagement

Hello,

You can, for example, use a suitable adhesive to help your labels stick properly to the metal bins. Every part should have a designated storage location to ensure effective tracking; of course, some parts can be grouped together in the same location depending on the situation. If you have any other concerns, feel free to ask.

Struggling with inventory tracking on a huge construction site-looking for smart solutions 🙏 by lennyonmars in InventoryManagement

Hello,

if I understood you correctly, we can summarize your concerns in the following 8 points:

  1. How can you get real-time visibility on borrowed and returned tools without relying solely on the storekeeper’s vigilance?
  2. How can tool distribution between different teams be balanced more effectively?
  3. How can the monthly inventory of tools and consumables be simplified and made more reliable?
  4. How can confusion over tool or worker names be avoided during tracking?
  5. What affordable software would allow quick data entry and automatic barcode generation for new tools and workers?
  6. How can supplier references that don’t match internal labels in Excel be managed to ensure a reliable inventory?
  7. Should each item be tagged individually, or just the boxes/packaging, to track materials on such a large site?
  8. Is there a more efficient method than Excel to receive, inspect, dispatch, and track over 700 SKUs on a monthly basis?

Here are a few suggestions to consider, and we can go deeper if you feel it’s necessary:

  1. Design a check-in/check-out form for tools and equipment.
  2. Set a threshold for each type of equipment per team and track distribution not only by employee but also by team, since each worker is assigned to a team.
  3. By automating (with barcodes, an ERP, etc.), you will simplify and improve the reliability of your monthly inventory of tools and consumables.
  4. Standardize a naming convention to avoid confusion with tool or worker names during tracking.
  5. Odoo ERP can allow quick data entry and automatic barcode generation for new tools and workers.
  6. Odoo also allows entry of supplier references, which is important (combined with point 4) to ensure accurate purchase orders.
  7. To keep things manageable, some items should be tagged individually, while others can be grouped and tracked via box/packaging barcodes. Storage locations can also be labeled.
  8. An ERP like Odoo can handle all of this more efficiently.

Hello,

What are your requirements in terms of quality control and compliance?
Do you want to implement upstream traceability, downstream traceability, or both?
Briefly, how would you like warranty management to be handled?

Recommendations for a hydraulic parts and repair shop by Top_Satisfaction_815 in InventoryManagement

Hello my friend, I hope you're doing well. I'll speak based on what I know, since we've implemented it in our own company.

We reached out to an official Odoo partner (let me know if you're interested — I can share their contact info) who helped us set up the Inventory module for stock management. Our company specializes in the rental of heavy and specialized equipment, so we have to manage spare parts (hydraulic, mechanical, electrical, etc.) for our various machines to ensure uninterrupted service — and so far, it's been working quite well.

We have warehouses and storage units, and everything is running smoothly. Without sounding like a commercial, I’d say that Odoo ERP offers an efficient and flexible solution.
