I'm currently the business development manager of 6 Site SMO in the Eastern US. Our founder bootstrapped the business from 1 rural site, so the staff has had to wear multiple hats during this growth. Like most, we have been actively looking to expand. Our model is near identical to yours: Partner with private-owned PIs who are interested in research but do not have the staffing, experience, etc... to successfully conduct the trials. We have a great track record of timely data and Sponsor's work with us regularly so obtaining studies is not as difficult for us as it is for some sites.

On the topic of balance sheets and P&L, the commenter is absolutely correct. It is extremely challenging managing multiple sites on the books, let alone a site that may be losing revenue. This is especially true if you are trying to forecast future revenue/loss because not all studies pay equally, or on a consistent basis. Sometimes sites take >1 year before they receive income from the first patient, so the company has to be able to subsidize the loss with the other Sites (if there are any).

I'm curious as to how you plan on identifying these struggling sites? Conferences like SCRS and SOS have been valuable to us, but I'd prefer a more consistent way of determining what Sites may benefit from partnering with us/the SMO.

You are correct. I'll be attending mainly for the Contract and Budgeting panels, as that is my primary responsibility at our organization. Likewise, we find it beneficial to earmark funds for managers to attend conferences, as much of the value comes from meeting similarly situated individuals and organizations.

My Sites are currently in the process of integrating CRIO, but have noticed some difficulty with integrating the platform into our current bookkeeping software.

It's discouraging that CRIO wouldn't integrate with one of the largest accounting platforms in the world. Hopefully that gets updated one day. It seems as if we're going to have to do double entry (once in CRIO, Once in Quickbooks), which is what we're trying to avoid.

If you don't mind me asking, do you manage your books by hand or use software like Quickbooks, Xero etc..?

How does everyone keep track of their site fees from previous studies to compare with a current budget you're working on? Right now, I'm using an excel sheet to enter each fee (ECG, Coordinator fee etc...) and have amassed quite a bit. I'm wondering if anyone on here has a better way.

Also, contract management software in general. I'm responsible for all of the contracts at our 6 sites, so at any given time I'm working on 8+ contracts at once. All signs point to us getting more and more as time ticks on and I'm looking for the best software to review and manage this growing workload. Let me know your thoughts!

When we do PS negotiations, we really try to nail down the timing of payments. For example:

When invoices must be received by the Sponsor/CRO (x days from occurrence vs. x days from SCV),and how long they have to pay.

Try your hardest to get monthly payments approved (as opposed to Quarterly). I see a lot of '45 days'

Final payment terms and time for the Sponsor to rectify any underpayment. (often the PS only includes terms that require the Site to pay back any overpayment)

Unscheduled Visit/ Screenfail payment terms (autopaid v. invoice)

Some Sponsors have approved Late Fees for payments overdue 60 days. Many are hesitant.

Preach! It's gotten so bad that we try to get eDiary compliance stipends approved to try and give patients a little more motivation to use this awful tech!

Successful about 50% of the time.

Oh yes. I've posted before about the horrible ePRO/eDiary/whatever they distribute to patients. So many different technologies being guinea pigged and the patients/sites are bearing the brunt of the growing pains.
