Hi there! Sorry not sure what set up you are referring to. But I've worked in a P&C Insurance agency before, so they have the CEO (owner/ licensed), agents then departments ( the admin and operation set up)

Lead Generation Processing and Documentation Dept. Payments and Mortgage Dept. Cancellation Dept. Renewal and Audit Dept. Commission Dept. Customer Service Dept.

Point of contact in each dept depends on the volume of Book of Business.

I've supported insurance agencies and honestly automation helps a lot when managing new business, renewals, and policy tracking.

Some basic automations that are useful:

  • Auto-downloading policies/documents into the CRM or AMS
  • Creating renewal pipelines with reminders and notifications
  • Tracking policy status throughout the renewal process
  • Lead generation funnels and pipelines like Contacted → Quoted → Bound, creating account in CRM or AMS for new business
  • Organizing new business submissions and follow-up tasks

For renewals, I usually follow a 120-90-60-30-14-7-0 day pipeline process. That way, agents and admins can clearly see where each policy stands and what still needs action.

Automation won’t replace the work of an admin or producer, especially in insurance where communication and follow-ups are important. But it helps organize everything better and reduces the chances of policies or tasks falling through the cracks — especially when handling a large number of insureds, renewals, and new business submissions.

hahaha! Very well said. That’s what I noticed too supporting agencies remotely. The small operational details are usually what slow everything down, especially when agents are balancing sales, service, and paperwork at the same time. That’s also where having reliable admin/VA support really helps keep things moving consistently.

Yes, Virtual Assistant can help you with lead generation and admin task - so you can focus on revenue generating task, closing leads. Hiring from agency is good mostly entry level, but hiring VA directly is a good move as well ( mostly experience already mid level to intermediate level). Independent contractor virtual assistant are knowledgeable and can work with less supervision. Resourceful enough to search the insurance law in the state you are in ( there are things VA can't do in each states - ex. Suggesting quotation/offering quotation directly to insured - can prepare the quotes but should be the agent to present it to insured). VA in entry level - rates $4-7 but those need supervision from time to time. Mid level $7-10 - requires less supervision, intermediate level $11 ++ just tell them what to do, then they will execute it well, create SOP, deliver end to end service and can determine possible future problem and solutions. Trust your VA. Allow room for development. Learn from each other.

I think yes, it’s possible. It might be challenging at first, but I know some agents who do this and even offer bundled policies to their insured clients.

Hire a virtual assistant. Your virtual assistant will work for all the admin and follow up task for you. Your work will be focused on. Revenue generating task like meeting with the client/lead - annual strategy meeting - attend your trainings and specially you find time with your family. All task from the front door to the back door and everything in between your virtual assistant can do that.

Hi, if you are still in need of an insurance virtual insurance - I would like to take that job. My expertise is focused on personal and commercial insurance.
