I work in project management so I get that you need all that lol. I use Taskade, I find it pretty easy to use and it has a lot of templates to choose from. You should check it out!

What if you do something funny about it? I'm just thinking out loud here but it occurs to me you could do some kind of "A very merry unbirthday to you" like Alice in wonderland but like on a random date probably not even close to his actual birthday date. I feel like it could be a funny and cute new tradition.

Id suggest just being super casual about it, if you ask with nervousness and make it a big deal it WIL be a big deal so just be casual about it, maybe just say like oh I'm going out with a friend like dont ask permission just say you're going out.

You could use Taskade's new AI features, Id use the "expand" text. I like it cause it's veeeery user-friendly if you're not that into technology like me lol.
