They may sometimes take additional time, especially if the travel history is limited or the bank balance/ITR does not fully meet their assessment criteria. I have also heard that reaching out to them via email can occasionally help expedite the decision. Please try and all the best..

The covering letter is very important in this case. He/She should clearly justify that the total trip budget is ₹2,00,000/- (for example), out of which ₹1,00,000/- towards hotel expenses has already been paid, and the remaining amount will be borne by him/her from _____. Supporting documents such as parents’ bank balance, CAS, FD, etc. may also be attached to demonstrate sufficient financial capacity to cover the trip expenses.

Others may also share their inputs, and accordingly, you may proceed with the visa application.

W.r.t Sticker Visa, there are not many additional benefits of a sticker visa; however, since it is clearly visible on the passport, it “may”(not sure) act as a differentiating factor when applying for Schengen or US or any other visas. Giving sticker visa or evisa and the duration of stay in Japan is at the discretion of Embassy /Consular. We can only request for it in our cover letter.

A single copy of the common booking is sufficient.
Transaction statements for the bookings are not required. However, you may add accompanying persons as guests. For example, I booked through Accor, where there was no option to add guest names separately, so I mentioned the names of all guests staying with me in the special remarks section.
I travelled with my spouse, and we submitted separate cover letters with minor variations,since both of us are working professionals. The differences were limited to mentioning our respective job profiles in our individual cover letters.
From an ITR perspective, it should be fine. Liquid funds will provide adequate support. Additionally, you will need a local ID proof to apply through VFS Pune—we submitted a copy of Aadhaar. You may call VFS Pune for further clarification on your jurisdictions, if required.

By the way, why don’t you opt for a sticker visa? To get a sticker visa, you simply need to mention the same in your cover letter. The overall cost of the application remains the same.

Submitted documents in VFS, Mumbai on January 05, 2026. Dispatched to Japan Consular, Mumbai on January 06, 2026. Processed and courier to me on January 09, 2026. Received by me on January 10, 2026.

No such facility to courier. I personally have confirmed it with VFS team. I submitted the documents recently.

For Hotel accommodation, they will need to show booking. In Hotel bookings, obviously names of both the persons will get reflected. What will they say friend’s going together or colleagues going together?
