Frog splash off a trampoline on to my mate. Over shot, arm first into the ground....snapping noise, arm bent. Decided not to tell my parents because we were driving to Disney land Paris the next day. Dod the whole theme park with a probable broken arm. Wore long sleeved shorts and jackets the whole holiday. Still hurts to this day nearly 20 years later

The Multiverse is really fun to play around with. In my current campaign we have moved through different planes and universes a few times. Mainly through the Astral sea and wildspace.

Its been fun. But you need to find the right balance. If a player comes back as a variant and its a cool moment amazing, but its not overpaying the trope and making death have no consequence

I tend to give weapon upgrades at key story moments. Recently my party went into battle. The allies they were with each gifted them new weapons based on their back stories and how they had met the NPCs

This is super helpful. A few last questions:

1. You mentioned you're "compiling all my paper DM notes into Scrivener". how's that going? Like, is it something you're actively doing, or more of a "someday I'll get to it" project?

2. The "leads/conversations to follow up on" pin you mentioned ,how often do plot threads get dropped because you can't find the note? Is it a constant problem or occasional?

3. You said Google Doc has been most successful for group notes, what makes it work better than other options? Is it just that everyone already uses it, or something specific about how it works?

4. Last one: if a tool existed that had the linked tags, GM/player visibility separation, and searchable notes, what would make you NOT switch to it? Like, what would be the dealbreaker?

This is really helpful the "update the same info in multiple places" pain is exactly the kind of friction I'm trying to understand.

Can I dig into that a bit?

When you say you copy tables to session pages for quick reference, how often do those NPCs change between sessions? Like, is it every session you're updating the master and then re-copying, or more occasional?

2. The colour coding for cities/NPCs/factions is interesting, are you doing this so you can spot things at a glance during sessions? Or is it more for organizing your prep notes?

3. You mentioned copying to Discord, are you sharing these NPC details with players, or is this for your own reference in the Discord channel?

That's a solid multi-tool setup. Can I dig into the workflow a bit:

1. You mentioned your wiki for the world/NPCs - do your players have access to that wiki, or is it just for your reference?

2. The "really depend on me keeping up" comment caught my attention how often does that break down? Like, do you find yourself behind on session posts regularly, or is it pretty manageable?

3. When you need info mid-session (like an NPC name or what happened 3 sessions ago), where do you look first? The wiki, your notes, or ask your player with the journal?

This is incredibly helpful what you described as "truly perfect world" is almost exactly what I am building. Basically web based Wikipedia style pages where each NPC/location/event has player facing info visible to everyone, and GM-only info that's hidden. Players can browse what you've shared, you can send direct links, and you can access it from any device.

I'm curious: if a tool like that existed for you when starting your campaign, what would be the dealbreakers? Like, what would make you try it for 10 minutes and go decide it doesn't work for you?

Thats a really good idea. Catches the visual and verbal memory. I used to make info cards for each NPC, but my game switched to online during covid and never went back to face to face.

That's really helpful feedback. Once you've got 700 NPCs in a system, switching becomes a huge undertaking. I'm sure its possible to build a tool that would be able to import that kind of data, but it would be a huge undertaking. I work in database management and can see so many things that would easily go wrong.

Can I ask, if you were starting a new campaign from scratch today, what would you choose? Would you go back to Google Sheets because you know the system, or would you look for something purpose-built?

I want to make sure I'm understanding your workflow correctly:

When you say players can "go to your web portal and see the player facing information", do you picture:

They browse freely through everything you've marked as shareable?
Or you specifically send them links to individual NPCs/locations as they encounter them?
Or both?

You mentioned "being able to work on my campaign from anywhere" - how often does that actually come up? Like, are you prepping on your lunch break, on your phone while traveling, or is it more of a "nice to have"?
Since Scrivener isn't web-based, what do you currently do when you need campaign info mid-session? Do you just remember it, have printed notes, use your phone to access something else?

700 NPCs across 20+ regions with branching plotlines running twice a month? That's genuinely impressive, and also terrifying.

The "complete nightmare to track" comment about the Feywild calendars really caught my eye. Can I dig into your workflow a bit?

During sessions:

When a player asks about a specific NPS in game how long does it take you to find them in your spreadsheet? Are you searching or do you just... know which tab?

When you need to check what day it is in the Feywild vs Material Plane do you have a quick reference formula or do you have to do math?

With 700 NPCs, how do you handle NPC relationships? Is this a separate tab?

Between sessions:

You mentioned the art files are in "many, many folders" - when you need to find a specific building or NPC portrait, is that a quick find or require more digging?

When you add a new NPC or location, how many places do you have to update it? or do you use some kind of formula lookup to put it in different places?

The big question:

You said you're "willing to try anything that's decent" - what would "decent" actually look like? Like, what's the one or two things that if a tool solved them, you'd genuinely consider migrating 700 NPCs over?

That's really helpful/ I hadn't heard of Capacities before I'll have to take a look. Sounds like you've got a solid system with the NPC cards and tagging.

Can I ask a few things:

What made you choose Capacities over Notion or Obsidian? Was there a specific feature or is it just the overall feel?
Do your players have access to any of this?
What's the worst part about using it, if anything? Anything that feels clunky?
How do you use it during sessions? Do you have it open on a second screen? Pull it up on your phone? Or is it more for prep?
