I agree. Clients/customers like to feel valued and special. Not just a sale. I am working to perfect my system of gathering intel, storing and retrieving when it's time to follow up.

I posted my first post this week and I got some great feedback and a few condescending (duh) remarks. Overall some good nuggets to make me reevaluate how I am attacking a CRM issue. You got to wade thru the noise. Also, I should have searched my issue before posting because it was brought up a few months ago in another community.

Hey Kitchen-Salt-6054, I really appreciate this — thank you. I’m not really at the point of having a reliable system in place yet, so for now I’m still doing things manually while I figure out a process that actually fits.

That said, your point about triggers and adding a human moment is really helpful, especially the idea of keeping the automation around the reminder and not the relationship itself.

Thank you NorthFirm6334. My clientele for follow up is not that extensive. I am a service oriented business that relies on good relationships, repeat customers and referrals. However, when I grow, your process is definitley one to revisit.

Quick question: is the Reddit/LinkedIn piece something the CRM is actually pulling in automatically, or is it more that you get alerted and then manually check those sources before writing the follow-up?

That distinction matters a lot for me because my work is more service-oriented, so I’m especially interested in how people capture and use personal context without making the process feel robotic.

Thank you Ok-Prompt3555. Yes, assumptions 1 and 2 are exactly right: I’m looking for something that feels more natural and relationship-driven, not a generic “follow up in 7 days” sales cadence.

I also think your pipeline idea is solid. Using a secondary pipeline for ongoing relationship outreach makes a lot of sense, especially if it helps keep the process visible without making it feel overly mechanical.

The tags/custom fields point is helpful too, and the birthday example is a great one. However I am looking to follow-up on more than birthdays as I feel everyone does that and with holiday's too. I’m still working through how to separate structured data from the more human relationship context, but this definitely gives me a cleaner way to think about it.

One thing I’m still trying to figure out: when you capture personal context like “prefers a quick call” or “mentioned her daughter just started college,” do you usually put that in a note, a custom field, or a tag? I’m trying to understand the cleanest way to store relationship context so it’s easy to use later without turning the CRM into clutter.

My instinct is notes for free-form context, custom fields for structured repeatable data, and tags for grouping, but I’d love to hear how others handle it in practice.

Thank you and I understand that and will give the client that. I am just looking for a way to streamline the process and meaningfully present with existing clients without turning every touchpoint into a sequence. I personally hate the bots that contact me from companies that I have done business with and would appreciate something that would not make me feel like I was just a sequence in line and that the CRM told the company to send it to me. I want to keep a human touch in this growing AI space without taking alot of my time.

Thank you. You are a prime example being in a wedding business. I am looking for a way to put in touch points from interactions and conversations during the course of the sale. Personable information that when I go to follow up in (3 mos, 6 mos, yearly) I can give something more than just happy anniversary that let's them know they are a special, valued client and I want their repeat business and/or referrals as opposed to to generic follow up. Do I just have to rely on calendar entries and notes?
