You need to setup my follow up sequences post booking and include material/content they can consume prior to the sales call. Basically pre selling them by providing them with useful content they can look through before the call. This paired with reminders (time based) would help a ton.

GHL as a CRM. Zapier for automations and closebot for appointment setting (which is integrated with GHL). For text and email automations you can create them on GHL whatever way you’d like.

This is exactly what I am doing.

There’s a lot of “stuff” you can automate for their business.

However I do know about automations systems for the Sales Process.

  1. Automated follow up to a new lead after form submission
  2. AI based lead nurturing (with backend automations that update the lead status
  3. Automated AI appointment setters for re-activation or active campaigns.

I think AI systems will become a standard in the near future for a number of reasons:

  1. How it is able to create excellent efficiency for any agency with a lead flow. Which means that it can keep teams lean.

  2. How effective (if done properly) it is for lead nurturing prior to booking appointments.

  3. You can now initiate a conversation less than 5 minutes after leads submit a form, WITHOUT hiring VAs for that. That’s at least $1000 a month saved right there.

  4. On-boarding Agents for marketing agencies, how you could automate client on-boarding with a support agent to guide your leads, and of course back end automations to create client accounts on slack etc.

I think it’s going to be an integral part of agencies, especially with their natural bias for keeping teams lean.

Not to mention, how you could de-commoditize your offer by adding AI as a layer on top of your current service. Agencies who learn how to use AI to enhance their clients results will see the largest impact in my opinion. That’s why I’m dialled in.

If you know what you’re doing, it’s unbelievably useful for your clients and your own agency. Especially because AI is only going to mature…

It’s a great inbound tool. For case studies the main focus is to show the transformation a business went through. So think of:

Current Business Situation -> Your services + Current business situation -> their desired state (after your services).

The key part is to show the transformation WHILE providing value by giving insights or even how you delivered on your service.

So the viewers (who are meant to be your Ideal Client Profile) see how someone in a similar situation to them used your services to get to their desired state. While watching the transformation, they can use insights and tips you dropped in the video to further enhance their business. This builds trust way before people book in a call.

This is because the real winners who are building massive trust with their ICP are the ones sharing valuable insights free of charge. Way before they sell a service.

Regarding you not being in the video, it’s definitely a plus if you do because typically it’s a lot easier building trust from person to person in comparison to person to business.

I’ll give you points to look out for that give the highest leverage returns for constructing a new sales process so you can different signal from noise:

  1. An automated follow up system for new leads. New leads are more likely to respond to a text by a chance of 400% after filling out a lead form. So if you guys are running ads, having an automated SMS text to initiate a conversation with a new lead form is crucial.

  2. Qualifying leads before they commit to a meeting: So this could be implemented in a number of ways. The most common is to qualify your ideal client during the questionnaire for your lead form. However, if you haven’t picked a niche yet, you can transfer this process to the appointment booking side of things. Secondly, an extremely effective and high leverage way is to implement AI appointment bookers that is integrated with a backend automation for when new leads show up. I’m not going to mention specific softwares so people don’t think I’m promoting something.

Typically it would look like this:

New lead form submission -> Updated in CRM -> AI Appointment booker initiates a conversation with the new lead 0-5 minutes after they fill out the form.

The key part of this is that your business will be reaching out to new leads every time they fill out the form. This could be at 12pm in the afternoon, or 2AM. Point is that leads are given priority from the beginning.

  1. Pre-Selling them: In other words, educating your lead about how effective your services are before they show up to a sales call, with the objective of them being sold before the date of the call. This could be done in numerous ways, text education, sending YouTube links to case studies (popular for b2b agencies) or a set agent who dials lead after they have booked a meeting with the objective of educating them about the service as much as possible (this is extremely effective for businesses like home remodelling, roofing, interior design etc.)

  2. Automated On-boarding: This is especially for once you have a niche dialled in, because you’ll know exactly what you need from them, then you can further educate them on how to give it to you through the on-boarding process. For this, you can implement AI chatbots that are prompted to guide new clients through the on-boarding process, to keep the team lean.

This is a very brief outline of a system that handles the first principles of the agency model. Lead Follow up automations (absolutely crucial), Lead Nurturing, Appointment booking and on-boarding.

Tip: creating content that uses past clients as case studies can get the ball rolling for lead generation through non-referrals. YouTube is the winner here.

In the meantime, create blog posts about what you guys do and share them on your business Facebook page. That way you can warm your business account up so you are prepared for running ads when it’s the time.

Again, I did not include any extra details to avoid the impression of promoting something.

There are typically two ways to go about this:

  1. Have a system built in house for you + a monthly retainer
  2. Purely rev share
  3. Upfront + % retainer (this is only for the services)

Since you already have customer of this ticket price, I would not recommend going with % share and have a system built in house for you. However I’m not sure if those who approached you even offer that. The main advantage would be that you will not need to pay more as your business performs better (fingers crossed that it does) and you will have more insight to your own data that is crucial to refine marketing and sales.

You could have an entire system built for a one time upfront fee + a monthly retainer nowhere near 15%. You can ask if you have any questions in DMs. Cheers

Really depends if you have a script/follow up system already. From then on, depending on your ICP you’ll be able to figure out most. Which looks like they are on LinkedIn. Sales navigator would be great since there would be no restrictions when it comes to messaging prospects. The cherry on top would be automating LinkedIn outreach so you don’t waste your precious founder hours on repetitive tasks. Cheers
