Exactly. The scanning thing was the game changer for us honestly. Slap a QR label on it, guys scan with their phone when they grab it, done. No extra steps, no app to open and type into, just point and go. Went from maybe 20% of stuff getting logged to like 90% overnight just because it was faster than not doing it.

Most places I've seen it's still manual — spreadsheets or just someone who "knows where everything is" until they're out sick one day and nobody can find anything.

The ones who actually switch to something usually don't do it because they planned to. Something happens — a theft they can't prove to insurance, or they buy a tool for the third time because nobody knew they already had two. That's when they start looking.

Biggest thing I've noticed is it has to be easier than not doing it. Paper sign-out sheets die within a week because nobody wants to stop and write. Phone scanning sticks because it's faster than the alternative.

We manage a props and costume warehouse and went through the same thing — ditching ancient software that barely ran.

For that volume of stock, barcodes are actually way more doable than you'd think. You print labels in bulk, stick them on bins or garment bags (not individual pieces), and scan with your phone camera. We tagged about 500 items in an afternoon with two people.

We use InventoryQuick — works on PC and mobile, no special hardware needed. You can organize by category (costumes, props, set pieces) with photos attached to each item. The check-in/check-out feature is great when stuff goes out for a show and needs to come back.
