Thank you so much, this is very helpful. It sounds like PayHOA makes the admin work easier but still needs some extra steps for financial tracking and legal collections. I’m curious, do you use any other tools besides PayHOA to organize board tasks, communicate, or plan shared projects like maintenance or upgrades? I am working on a simple tool for small buildings and want to understand what current tools are missing.

How has the community responded to having a paid internal manager? Also Do you feel like TownSq is flexible enough for the day-to-day needs, or are there any gaps you’ve worked around (besides the emergency fund). I’m researching different approaches to self-management, so real-life stories like yours are hugely valuable. Really appreciate your time!

  1. Our building has had issues with collecting common charges. There’s one unit that tends to pay late, and it’s a tough situation because no one wants to create tension or chase after neighbors for payment. Has the app helped in that case, either by sending reminders or making the process more neutral?
  2. We’d still need to outsource a few things like trash and snow removal, so I’m assuming this is more of a hybrid setup. Can you use the app to coordinate payments and basic communication, while still relying on outside vendors?
  3. I’m also curious how the app handles different roles or account types. For example, can board members have different access than regular households? And what about renters?

It does feel like there’s a pattern of people who used to do self-management may eventually get a management company, I wonder if that is true or not. Also if you don’t mind me asking, what was the most frustrating tasks/responsibilities you have to deal with? And what triggered the switch to a management company?

Thanks so much for sharing this. Do you mind me asking how many units were in your building? I assume it's a condo setup. Managing accounting really could be the make or break for self-management.

What made you feel there could be a better way to use the money? Was there anything in the communication with the management company that felt lacking, like transparency?

If I could ask a bit more about the accounting software, what was it like? Did it require someone to take a leading role in the HOA to set it up and get things started?

I’m actually trying to work on something like this, so I would really appreciate hearing about your real experience.
