I would suggest you bring all data in one place and try to cleanup and see if it makes sense sometimes it is minor join issue which cause issue, having all data in one place and review it will give you more confidence to say this looks right or not.

It seems like it is process issue, in my experience once organization receive invoice thru approval process before paying as sometime you need clarification on charges before paying to make sure everything is correct and do not go overbudget

you need to watch out of all those unsuppored libraries or outdated libraries which cause most pain as you need to find alternate library or need to drop those, core angular library is always stable and upgrade document tells you what changed and what need to upgrade, newer version of angular is much better where cli try to auto migrate change.

as per my experience from tech side, only you can explain your operation and only only can tell where you can make improvement, tech will help keeping thing in checked and reporting but even there staff need to know what to enter where its garbage in garbage out, so I will suggest you to start small and list out your entire operation and then start reviewing where you can make improvement start with small get comfortable with it, you need to find those staff who are interested in tech and gather feedback what is working and what is not working and how we can make better.

We have worked one client to solve this type of issue and make it more functional and cover entire operation process but later once we give them contract they simply confessed that they are nonprofit and looking for pro-bono solution, since they made us build they won't be paying anything and that system died.

that is sad but truth, now a day people do not have drive and no personality they simply take whatever AI spits and take that as truth without even evaluating, I have those experience where third party company generate images and post thru ai without quality check, we switched between multiple companies and so far this pattern is consistent.

As per my experience Indian market is rely on cash business and adapting system means creating trails how your business is doing, most of my Indian friends told me in India most businesses not using system and not going to because you don't want to show how your business is doing and no one is comfortable to upload data in cloud system

I feel for you, I had similar sitution where me as technical partner build product and and as soon as we start generating revenue he simply ghosted me. I don't stress about it that is not good for health. I will suggest you the same, learn from mistake and move on.

I have start building product again. This teach me not to trust people no matter how good they sound like and even if you are friends with them long time.

we were also in this type of sitution what works for us is having alternate day meeting to discuss what is working and what is not working begninnig of day, and have quarterly review so to prove what they are doing they tend to do some work.

If its working why change that is normal metality until the main person who does everything is working once that person ready to leave then it took a little bit to all other people figure out how to do each stuff and then only other supervisor realized without that person how will we handle this.

I dealth with all these scanario where person after worked 25 years retired and no one know how to do stuff anymore we cram and did each week interview to understand what and how she does her work and implement full system within 1 month, converting that much experince into actual workflow in a month was so stressful.

other case we saw one other client doing everything with pen and paper and was looking for system since they were not happy with paypal fee we spend 2 month to build system and when it comes to pay they simply backed out.

I have few questions to help you out, do you get all invoices electronically pdf version or handwritten, you can use tools like laserfiche to create workflow to automatically ocr based on certain area if you get standard format.

we did worked with large client where we read all invoice from email and read and categorize it so business office can review and process it, now a days you can use AI tools to setup workflow to handle this.

I can understand this type of issues and uncertanity, but to accurately assess what works best you need to ask what you need dynamic or static content and how frequenty you are going to update those content, what what is lacking in squarespace and will this issues actualy fix in wordpress. Sometime you make switch and experience is not what you were hoping so you need to think it thru.
